JOB TITLE: TALENT ACQUISITION SPECIALIST

LOCATION: BANGOR

REPORTS TO: HUMAN RESOURCES DIRECTOR

POSITION STATUS: EXEMPT, NON-BARGAINING UNIT, FULL TIME

POSITION OVERVIEW:

This position coordinates and executes recruitment activities both internally and externally, also provides a wide variety of administrative, organizational and departmental support within the human resources department: coordination, recruitment, on-boarding, off-boarding, responding to employee and external inquires, maintains employee HR files. As part of the Human Resources team, reporting to the director of HR, you will be an integral member of the team that will help shape the culture of the organization.

JOB RESPONSIBILITIES:

  • Supports the day-to-day operations of the recruitment function; and is responsible for administrative and project-oriented duties.
  • Communication with all internal/external candidates as well as hiring managers across the organization
  • Administer Various types of employment testing as needed
  • Conduct initial telephone interviews to screen candidates, coordinate onsite interviews and service as an effective liaison with TA partner
  • Maintain, update and disposition job requisitions in applicant tracking system
  • Act as a point person for candidate inquiries, pre-and post- interviews
  • Collect and track interview feedback
  • Partner with TA to innovate new ideas and tactics to the recruitment process, leveraging resources as appropriate
  • Coordinates the new hire on-boarding process to ensure all relevant information is provided to and completed by new hires and completes processing within necessary timeframes
  • Provides support for external recruitment initiatives including registering for career fairs, coordinating outreach activities and tracking outreach activities.
  • Assist with the preparation of recruitment fair material and attend as support staff at events as needed.
  • Organize processing of interview scheduling for candidates, preparation of interview guide for hiring team.
  • Reviews and screens resumes and applications; maintain and distributes candidate documents of qualified applications; maintains applicant files, creates and updates various tracking documents when requested
    • Enters applicant data into applicant tracking system and maintains tracking log
    • Handles reference verifications, pre-employment paperwork, physical scheduling, ordering background checks and other related pre-employment candidate communication up to and including start date. Escalate any concerning results that may lead to withdrawal of job offer.
    • Communicate with hiring leader/ TA partner to provide updates throughout the process.
    • Organizes and facilitates New Employee Orientation, coordinates and follows up in the completion of on-boarding paperwork and processes (I-9, self-identification, direct deposit, benefits), ensure manager and new hire checklists are completed.
    • Assists TA partner with process improvement initiatives as necessary
    • Responds to employee and applicant inquires in an expeditious, professional manner example: applicant technical issues when applying online for position
    • Supports TA partner with correspondence and new hire paperwork. Maintain, update and organize personnel file system, ensuring that all records have required information, are updated, and audit ready
    • Assist with managing the HR inbox regarding any recruitment related items
    • Participates in special projects as needed.
    • Assists and collaborates with the implementation of corporate-wide programs in the areas of Talent Development, Compensation, Compliance, HR Systems & Analytics, Safety, Wellness and Benefits that consider broader human capital practices and organizational needs.
    • Performs any and all other duties and responsibilities of a similar nature and character to those above.
  • QUALIFICATIONS:
  • Associates degree in human resources, business or other related field required, Bachelor’s degree preferred.
  • 2-5 years of human resources or talent experience
  • HRCI or SHRM certified preferred.
  • Knowledge of principles and procedures for personnel recruitment, selection, training, adult learning principles, facilitation skills, and personnel information systems.
  • Strong business acumen, strong time management and priorities management skills, analytical, communication, collaboration, and problem-solving skills.
  • Federal and state employment regulations knowledge
  • Strong analytical and problem-solving skills.
  • Position requires a valid Maine driver’s license. Computer software proficiency, to include Microsoft Office (Excel, Outlook, Word)

  • Position is primarily sedentary. Some walking, standing and driving required.

RATE OF PAY:

Salary is commensurate with experience and qualifications.
