Minimum Salary:* 29.97 MidPoint Salary*: $37.46 Maximum Salary: 44.95At the Port of Seattle, we anticipate making salary offers between the minimum and midpoint of the salary range. Offers will be based on experience similar to the Port job being applied for as well as a review of pay rates for Port employees performing similar work. As the Talent Acquisition Coordinator, you'll be using your attention to detail and your passion for customer service and process improvement to provide administrative and operational support to the department. You will support a fast-paced and laser-focused recruiting team, working to coordinate onsite, phone, and virtual candidate interviews. This includes managing complex scheduling and facilities requirements, as well as booking candidate travel. You will be an integral part of making the recruiting, interviewing and selection process a positive experience for the candidate, hiring manager and Talent Acquisition Team.

  • You will develop close working relationships with the recruiters and other recruitment coordinators to effectively support the Port of Seattle staffing needs. Partner with Recruiters on on-going candidate pipeline development, lead generation, and collaborative staffing efforts.
  • You will schedule interviews and phone screens working directly with recruiters, candidates, and hiring managers through complex calendar management; in some cases, arranging travel for visiting candidates.
  • You will acquire all documents to help pre-plan recruitment efforts, such as job descriptions, previous postings templates, interview question templates, etc.
  • You will respond to inquiries regarding policy and procedure information to applicants, staff, and leadership and provide follow-up correspondence to candidates on recruiting status via phone and email.
  • You will coordinate all necessary communications, paperwork, and processes for newly hired employees to ensure a successful pre-boarding to on-boarding experience.
  • You will perform background checks, license/credential checks, and education verifications on newly hired employees.
  • You will review contents in the recruitment close out files and identify missing materials for follow-up.
  • You will verify data in requisition is accurate and up to date, i.e. reporting relationships, wage, grade, step/status of represented positions, appropriate references, and education electronic checks, etc.
  • You will build job postings and identifies screening questions in Taleo for assigned recruitment efforts and saves applicable documents for future requisition templates.
  • You will update candidate records and job postings in recruiting systems, including applicant tracking system. Create new positions and requisitions in our Taleo/Oracle HCM system and ensure accuracy of data entry.

Who you are:

  • Experienced – You have three (3) years of general business, project, program and/or team coordination/support experience.
  • Educated – You possess a High School Diploma or equivalent.
  • Desired – We hope you have five (5) years of experience within an HR environment with exposure to recruitment processes.

  • Technologically Savvy – You are not afraid of leveraging technology to increase efficiency and bring creative solutions to enhance your work. You can learn new systems quickly, such as Taleo (Applicant Tracking System).
  • Highly Organized – You have a track record of successfully coordinating interviews for high-volume positions in a fast-paced environment. You can balance and prioritize simultaneous recruitments at one time.

What else you need to know:

  • Work Schedule – Your normal work schedule will be Monday – Friday, 8:00 a.m. to 5:00 p.m. (40 hours per week).
  • Work Environment – You will primarily work in an office environment with occasional hybrid remote work options.
  • Grade Review – The pay range and grade for non-represented positions are under review and subject to change as part of the Port’s work to implement a new pay program. This review is intended to ensure that positions are aligned with the new program that will be implemented in early 2024.
  • Washington State Residency Requirement – Employees must establish a residence in Washington state within 30 days of their first day of employment and must maintain a residence in Washington State during their employment with the Port of Seattle. If a position is eligible to telework, work performed while teleworking must be performed in Washington State.
  • Overtime Eligible – You are eligible for overtime pay in this role.
  • Security Requirements – As the successful candidate, you must pass a Transportation Security Administration (TSA) background check as well as a criminal history background check with the Federal Bureau of Investigation (FBI). Your employment will be contingent upon obtaining a Port of Seattle ID badge upon clearance.
