Who we’re looking for

Toyota’s Human Resources Department is looking for a passionate and highly motivated Talent Acquisition Administrator to join our Talent Acquisition team (OneTA).

The primary responsibility of this role is to provide administrative support to the Recruiting Operations, Professional, Hourly, and Managed Service Provider (MSP) hiring teams to meet evolving business requirements and the needs of the recruitment lifecycle.

Reporting to the Talent Acquisition Recruiting Ops, MSP & Hourly Hiring Manager, the person in this role will support the team’s objective to develop and implement recruitment operational efficiencies that will advance Toyota’s inclusive culture. This role will play a crucial part in supporting Talent Acquisition processes, ensuring seamless coordination and communication between management, recruiters, candidates, etc., and contributing to the overall efficiency and success of our Talent Acquisition efforts.

This position is based at our North American headquarters in Plano, Texas. The selected candidate will be expected to reside within commutable distance of this location. Relocation assistance isn’t available for this role.

What you’ll be doing

  • Provide administrative support for Toyota’s OneTA team with candidate management, operational enhancements, and across the Toyota enterprise.
  • Oversee both internal and external communications through the Talent Acquisition hosted program email mailboxes.
  • Completes a broad variety of administrative tasks for the TA Leadership team including but not limited to managing OneTA calendar, planning, and execution of team meetings/team events/team social gatherings, etc.
  • Oversee all Ariba transactions including vendor contract maintenance, invoice management, Pcard purchases, purchase order reconciliation and maintenance across Talent Acquisition.
  • Collaborate with TA Leadership to establish and track fiscal year budgets.
  • Supporting role as a point of contact for maintaining OneTA Hub as a source of information for all recruitment information.
  • Provides support for maintaining I-9 filing responsibilities as well as support for other pre-employment testing and assessment requirements.
  • Perform other projects and tasks as requested by TA Leadership.

What you bring

  • Proven experience in a professional administrative role.
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint, Teams, Outlook).
  • Professional experience with social media web platforms.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Highly resourceful team player, with the ability to also be extremely effective independently.

Added bonus if you have

  • Administrative experience within Talent Acquisition or human resources functions.
  • Familiarity with applicant tracking systems (ATS); Workday Recruiting experience highly preferred.
  • Experience using Ariba for management of invoice processing, invoice reconciliation, purchase orders, etc.
  • Prior TA Administrative or TA Coordinator experience.
