Job Title: Surgical Scheduler
Position Type/Expected Hours of Work: Full Time; Monday – Friday, 8:00am – 5:00pm
Essential Job Responsibilities:
- Schedules surgeries for patients either by phone or in person, based on the physician’s orders and the medical practice protocol in a timely manner
- Utilizes appropriate technologies to match physician/facility availability with patient’s preferences in terms of date and time
- Ensures proper prior authorization and insurance verification information was obtained prior to scheduling
- Collects patient pre-procedure payments
- Clearly communicates and educates patients about pre- and post-operative instructions
- Serves as in-house coordinator to create and distribute accurate rounding lists to physicians and other medical facilities, when assigned
- Communicates with physicians/clinicians and other staff about any patient concerns/issues
- Communicates with patients regarding the scheduling process, delays, etc.
- Returns phone calls from patients, regardless of the nature of the call, within a 24 hour timeframe
- Creates patient procedure packets and posts on patient’s online portal or, when patient requests, mails via USPS mail
- Collaborates with other departments to resolve any patient questions and issues
- Create a positive working relationship among the physicians and KUS staff; demonstrate respect; proactively communicate with others
- Handles all patient interactions politely and professionally
- Maintain confidentiality and observe all HIPAA rules governing patient confidentiality
- Cross train in other departments as needed/directed

Education:
- High school diploma or equivalent
Experience:
- Minimum one year of experience in medical practice setting, preferably in a test or surgical scheduling position
Performance Requirements:
Knowledge:
- Knowledge of medical practice protocols related to scheduling procedures and surgeries
- Knowledge of electronic scheduling systems
- Knowledge of customer service principles and techniques
Skills:
- Skill in communicating effectively with physicians/clinicians
- Skill in maintaining patient information in the electronic medical record
Abilities:
- Ability to multitask effectively, dealing with phone calls, in-office patients, staff, and others pleasantly and professionally
- Ability to communicate calmly and clearly with patients about appointments in all circumstances
- Ability to analyze situations and respond appropriately and professionally
- Ability to adapt to changing situations and be able to “think outside the box” in order to provide the best quality of care to our patients
Equipment Operated:
Standard office equipment with emphasis on telephone, computer hardware/software, copier, scanner and fax machine.
Work Environment:
Medical office, well lighted, well ventilated. Face-to-face contact with most assigned patients.
Physical Requirements:
Mostly sedentary. Some walking, bending, and reaching. Employee is regularly required to talk or hear.
