Surgical Scheduler- Physician Practices
General Summary:
This position requires utilization of clinical knowledge to appropriately schedule procedures/surgeries per provider’s orders. The position requires excellent customer service skills with patients, providers, staff in both the practice and hospital, and the public. This position must be able to respond to both written and oral correspondence regarding scheduling changes/cancellations in a timely, accurate manner and be able to complete any needed documentation of scheduling orders in the electronic medical record. Individual must be organized, and be able to manage demanding workload with accuracy working with patients, providers in the practice and the surgical services team at the hospital. A sign on bonus of $5,000 is available.
Essential Job Functions*:
- Schedules office and hospital-based medical procedures for patients with appropriate provider and time/location slot, utilizing appropriate scheduling codes in the electronic medical record[DM1] .
- Schedules pre-operative diagnostic and medical appointments ensuring appropriate time utilization to maximum efficiency.
- Communicates between the operating room, outpatient departments, physician’s offices, and patients in a positive and professional manner.
- Enters notes/special instructions needed for scheduling in the electronic medical record[DM2] .
- Completes accurate documentation of informed consent with patients for procedures and surgeries as needed.
- Provides accurate, detailed information to patients regarding test preparations, time of patients scheduled arrival, and any other directional information needed; takes appropriate action in responding to questions from patients.
- Confirms patient’s insurance provider and obtains prior authorization.
- Ensures patients have proper medical clearance and pre-surgical testing as needed.
- Reviews instructions with patients and ensures scheduling of proper follow-up appointments at the time the procedure is scheduled.
- Contacts the patient to verify pertinent information concerning the date of surgery.
- Notifies appropriate departments, physician offices and patients of any scheduling changes.
- Assists the Surgical Scheduler with position duties as needed.
- Participates in hospital/departmental meetings as required.
- Complies with hospital and departmental policies, procedures, regulations and standards as related to job.

Qualifications:
- Education
Required: High School graduate or equivalent.
Preferred: Post-secondary education in the clinical health care field.
- Work Experience
Required: Two to five years’ experience in a clinical health care setting.
Preferred: Previous clinical experience directly related to a surgeon’s office or hospital setting.
- Other Skills/Knowledge
Required: Demonstrated ability to make independent judgments in times of need along with the ability to seek guidance and/or support from appropriate resources.
Clinical background with the knowledge of operating room and outpatient department procedures and processes.
Computer literacy. Ability to write clearly and concisely. Excellent interpersonal and communication skills. Ability to give and accept feedback in a constructive manner.
Knowledge of medical terminology
Preferred: Knowledge of current confidentiality policies as well as other hospital policies and procedures. Knowledge of computerized patient scheduling.
