Job Summary
Facilitates excellent patient experiences as they schedule and prepare for their ASC procedures. Insures efficient utilization of ASC and physicians’ time. Helps maximize procedure reimbursements from payers.
Essential Duties and Responsibilities
  • Creates and monitors all ASC procedures for the Center, within the constraints of provider templates.
  • Responsible for insuring that procedure orders are in alignment with payers’ medical necessity guidelines. Where there is an issue, communicates with provider and Precert department to resolve.
  • Coordinates timing of procedure with pre-certification availability.
  • Sends pre-certification requests to the Precert department at the time of scheduling procedures.
  • Sends SCS, DRG, PNS, pain pump, Vertiflex, or any other “big case” referrals directly to the Neuromodulation Coordinator.
  • Maintains appropriate level of communication with the Front Office Manager and Regional Administrator regarding scheduling conflicts and resource limitations.
  • Calls patients in the event their procedures must be rescheduled. Compassionately but effectively addresses their scheduling conflicts.
  • Meets with patients at the completion of their clinic visit to:
    • Review the provider’s treatment plan
    • Discuss their payer requirements
    • Go over pre-procedure instructions, and answer patient questions regarding their procedures
    • Insure that the Surgical Coordination Checklist and Pre-Procedure instructions are filled out entirely, signed, and dated by the patient and a witness.
  • Due to time constraints it may not always be realistic to review payer requirements while patients are at the window. In such cases, the Surgical Scheduler must complete their review of payer requirements by the end of the day, and inform the provider in the event there is an issue.
  • Works with manager to balance the schedule and continuously monitors the schedule for potential problems or areas for improvement
  • Acts as a first line of defense when orders come from clinic to check if orders, benefits and patient surgical history all coordinate for payable claims
  • Calls to confirm procedures (may not apply in all Centers)
  • Reschedules cancelled/no show procedures.
  • Other duties as assigned.
Education/Experience/Skills/Certifications
High School Diploma or GED required. Working knowledge of Microsoft Office and eClinical. Strong customer service skills. Good command of the English language, both verbal and written. Ability to work well with physicians, employees, patients and others. Ability to work independently with detail and accuracy. Ability to apply common sense, understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several variables.
