Job description

Job Summary: This position is one of the most important functions in the heath care delivery system and the first point of contact made in person or by telephone. The receptionist will portray a positive and professional image both in person and via the phone. Additionally, he/she will provide professional and courteous services to all patients, family members, physicians, and their staff, along with any external vendors. Responsibilities include patient relations, appointment scheduling, telephone/fax duties, patient registration, insurance verification, cashiering and computer work.

The Front Office Receptionist is responsible for the following:

  • Patient Relations and Registration
  • Greet patients and family in a professional and friendly manner upon arrival.
  • Ensure proper registration of all patients and that all necessary paperwork is collected, reviewed for completion, properly documented.
  • Properly verifying insurance information and demographics are updated in the required computer systems.
  • Collecting any monies due from patient. This includes providing receipts for all patients making payments and processing credit card authorizations using the credit card machine.
  • Ability to advise patients of payment options.
  • Timely delivery of patient charts to the clinical area and documentation of patient registration on procedure board.
  • Appointment Scheduling
  • Maintain a full schedule by assisting patients and physician offices with scheduling the appointments and rescheduling any cancellations.
  • Continuously review future dates of procedures for problems with appointments, scheduling gaps and over congestion of the schedule.
  • Contact patients prior to appointment times to explain prep, discuss payment and answer any questions.
  • Finalize white board for clinical area each day with updated schedule.
  • Confirm receipt of all necessary paperwork from referring physicians’ offices prior to patient’s appointment. Contact the office when paperwork is not provided.
  • Notify all physicians of any office closings, meeting and changes in their schedule.
  • Telephone and Fax Duties

· Answer telephone lines within in 2 rings and manage multiple calls at the same time.

· Forward telephone calls appropriately.

· Document messages in detail when required.

· Return any patient and physician office messages as quickly as possible.

· Ensuring that phone is forwarded to call service at the end of the day and remove forward service at 7 a.m.

· Maintain daily fax log.

· After faxes are received, sort and distribute them as appropriate throughout the day.

· Send confirmation, no show, and reschedule notices to appropriate offices.

  • Chart Construction

· Print and collate forms for patient charts.

· Prepare charts to include organizing forms in the correct order and placement and correctly numbering the patient chart.

· Retrieving charts needed for upcoming procedure day and/or week.

· Printing labels for chart compilation and forms for use by clinical and anesthesia departments.

· Ensure all charts are pulled and prepped for the following day.

  • Computer Duties

· Register all demographics and insurance information into computer system.

· Ensure all fields are completed correctly when entering patients into the system.

· Update insurance and demographic information as needed for returning patients.

  • General Duties

· Open office prior to patients arriving.

· Unlocking doors and turning on lights throughout the center.

· Make coffee for patient area.

· Close out credit card and provide print out to Billing Manager.

· Maintain waiting room and front office area in an orderly fashion.

· Unplug appliances, turn off all lights, and turn down blinds before leaving in the evening.

· Manage alarm system correctly.

· Ensure someone covers front office at all times.

· Signs for deliveries and distributes packages accordingly.

· Read off and sign on all memos.

· Accurately complete time card for payroll and submit to Office Manager on time.

· Actively participate in any work related meetings in a positive manner.

· Submit daily sign in sheets and fax logs for end of day reports.

· All other duties as assigned.

  • Maintains patient confidentiality at all times.
  • Reports to work on time and as scheduled; completes work within designated time.
  • Uses computerized time system correctly.
  • Completes in-services and returns in a timely fashion, keeps up to date with equipment orientation/training and documents.
  • Attends annual facility review and in-services as required.
  • Attends staff meetings; reads and returns all staff meeting minutes in a timely manner.
  • Always represents the organization in a positive and professional manner.
  • Actively participates in performance improvement and continuous quality (CQI) activities.
  • Complies with all organizational policies regarding ethical business practices.

Job Type: Full-time

Pay: $20.00 - $25.00 per hour
