Job Purpose:

We are seeking a competent, compassionate, and career-oriented professional Applications SpecialistSupport Staffto manage, and process foster and kinship care applications. This position entails data entry, processing background checks and working with our state computer system “ewisacwis.” The ideal candidate is proactive and independent, can work effectively with a variety of stakeholders, is flexible, and possesses excellent coordination skills. Qualifications:

  • HS diploma or equivalent required.
  • Minimum of two (2) years of data entry / data management / administrative professional experience required; in a non-profit work environment preferred.
  • Experience with project management, information tracking and management and operational protocol preferred.
  • Ability to type 40-50 words per minute with 95% accuracy.
  • Experience with Word, Excel, and Outlook and able to organize and track information in a systematic method.
  • Demonstrate effective cultural competency skills and able work and communicate respectfully with individuals from diverse economic and cultural backgrounds.
  • Demonstrated organizational skills, able to manage multiple priorities and able to respond quickly and courteously.
  • Ability to maintain confidentiality when reading, typing, or hearing matters pertaining to clients.
  • Physical exam, drug screen, motor vehicle report, and background checks are required for this position.

Duties:

  • Serves as the primary contact for processing general applications, foster home study requests, ICPC Home Study requests and kinship referrals.
  • Creates kinship eligibility in ewisacwis in conjunction with background checks (InCheck, Sex Offender, address search, CCAP on all name and aliases for all adult in home. Run CCAP and Sex Offender name search for all juveniles ages 10-17).
  • Processes all required Tier 1 InCheck reports for prospective foster parents.
  • Requests and processes all background checks through NSOPW, CCAP and Sex Offender address search utilizing the Tier 1 results. For all applications, MKE CPS background checks will be conducted.
  • Requests Out of County/Out of State Background Requests dependent upon Tier 1 results for all adult household members via fax, email or USPS and log when sent and received.
  • Supports Kinship and General Applications processing by reviewing background check results to identify any barrable offenses to licensing.
  • Initiates and maintains tracking systems to increase compliance with program, stakeholder, and regulatory expectations.
  • Enters the Home/Facility into KCare/CoBris with all appropriate household members.
  • Manages the appropriate tracks for provider facilities in KCare/Cobris.
  • Manages a provider’s household composition within ewisacwis.
  • Enters the initial Review Inspections date into KCare under the Facility>Annual Background Check
  • Enters all new Applications into the Provider File Inventory Log.
  • Upload background check results for adult to kinship eligibility as well as kinship application, BID, Authorization form.
  • Screens each application and background checks in detail for any barriers then generate an approval/denial letter.
  • Tracks and monitors amount of Initial Licensing Binders and Re-Licensing Packets available and requests additional copies be made.
  • Participate in the management of monthly reports.
  • Manage provider’s household composition within eWiSACWIS.
  • Data entry of information in CoBRIS for Kinship Annual Tracking
  • Manage Referral Bonus’ for foster parents.
  • Enter all new kinship applications into Kinship Inventory Log.
  • Upload background check results for adults to kinship eligibility as well as kinship application, BID, Authorization Form.
  • Screen each application and background checks in detail for any barriers and generate an approval/denial letter.
  • Organizes time effectively, maximizes use of available resources, successfully balances the competing demands of multiple projects by setting priorities and communication and meeting deadlines, asks for help when necessary.
  • Prior to approved time off, coordinates and verifies that all Support Staff responsibilities needing to be conducted during absence are covered by appropriate colleagues.

  • Hybrid on-site/remote work is available with reliable broadband connection.

  • Fast paced, flexible work schedule includes evenings and some weekends to accommodate program need.
  • Incumbents will occasionally need to be available for extra hours and/or provide flexibility to accommodate special events, peak demand or staff shortages.
