Job description

SUMMARY
Coordinates Materials Management Information System activities, recommends/implements/maintains documentation, and provides input on MMIS related issues. Serves as liaison between the Material Services and Tucson Medical Center (TMC) Information System departments on MMIS related issues. Provides for all interface activities needed between PeopleSoft MMIS and other clinical business support applications, works with vendors to ensure efficient utilization of system capabilities.
ESSENTIAL FUNCTIONS:
Serves as the Liaison within Materials Management to support Materials Management, Financial Services, Information Services, and clinical department users on Materials Management Information System and related issues.
Reviews and approves MMIS employee access and profiles, sets up security levels to ensure system integrity.
Analyzes current and proposed system or program enhancements and provides user specifications to Information Services (IS) Department.
Produces standard and custom reports utilizing the PeopleSoft Query and other reporting tools (i.e. Excel, Access).
Manages data collection, analysis, interpretation, integration, and reporting processes using System Integrity department resources or in collaboration with IS.
Understands and documents department's core business processes for coordination of activities between user department and the IS Department.
Provides support to Materials Services departments' month end and physical inventory process and procedures with data and MMIS support.
Works with Clinical Resource Mgmt, Purchasing, and MMIS teams to ensure the integrity of the system catalog is maintained and by researching all item requests for duplications and recommending existing alternatives.
Maintains a system-wide UNSPSC uniform coding system for the items in the item master. Assists Clinical Resource with UNSPSC classification and assigning attributes as requested.
Assists in the development of goals and objectives, and policies and procedures for MMIS.
Develops and maintains training curricula and documentation, and provides training to other department users on the proper use of the MMIS.
Stays abreast of current and future software releases and identifies current and future departmental needs through upgrade releases and/or custom code requests.
Adheres to TMC organizational and department-specific safety, confidentiality, values, policies and standards.
Performs related duties as assigned.
MINIMUM QUALIFICATIONS
EDUCATION: Bachelor's degree or an equivalent combination of relevant education and experience.
EXPERIENCE: Three (3) years progressively more responsible experience in Purchasing/Inventory or related Materials Management Information System.
LICENSURE OR CERTIFICATION: None required.
KNOWLEDGE, SKILLS AND ABILITIES:
  • Knowledge of market related to procurement of supplies, preferably in a hospital or healthcare delivery setting.
  • Knowledge business system requirements and documentation practices to ensure proper evaluations of solutions for system needs.
  • Skill in evaluating business systems, documenting solutions and troubleshooting problems.
  • Skill in the use of computer applications such as Microsoft Office Products including Outlook, Excel, Word, Access, and PowerPoint, PeopleSoft MMIS, MediTrac, and other Supply Chain support systems.
  • Skill in developing presentations using PowerPoint and Word/Excel for customer and executive presentations.
  • Skill in developing queries and analyzing data.
  • Skill in developing system documentation and training manuals.
  • Ability to perform complex cost analyses using Excel and Access to demonstrate total costs of acquisition.
  • Ability to complete analyses independently with a high degree of accuracy.
  • Ability to write queries to obtain data from MMIS (PeopleSoft).
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business and correspondence and procedure manuals.
  • Ability to effectively present information and respond to inquiries or complaints from employees, patients, and/or their representatives and the general public.
  • Ability to calculate figures and compute rate, ratio, and percent and to draw and interpret bar graphs and apply basic algebraic concepts.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions dealing with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
