Job Summary
Works under general supervision of nursing leader to provide clinical and operational support for, and supervision of, Medical Office Assistants and/or Medical Office technicians in an ambulatory patient care setting.
Work Location: 2001 Inwood Road, Dallas, Texas
Shift Requirement: Monday through Friday, 8:00 AM to 5:00 PM
Education/Experience
  • Five (5) years' experience as a medical assistant/patient care technician in a hospital or clinic setting including two (2) years' experience as a Lead MOA required; or bachelor's degree in related field and two (2) years' experience as a lead MOA required.
  • High School graduate, or GED.
  • Successful completion of UT Southwestern supervisory training course within twelve (12) months of employment required.
  • Current Certified Medical Assistant certification required, through one of the following organizations:
    • American Association of Medical Assistants
    • American Medical Technologists Association
    • National Association for Health Professionals
    • National Center for Competency Testing
    • National Health Career Association
    • American Allied Health
  • Basic Life Support (BLS) certification required, course directly from the American Heart Association (AHA) or American Red Cross (ARC). Note: BLS must not expire within 60 days from the start of employment.
Job Duties
  • Human Resources:
    • Supervises assigned Medical Office Assistants (MOA), Certified Medical Office Assistants (CMOA), Medical Office Technicians (MOT) and CMOA Coordinators to ensure appropriate policies and procedures are followed.
    • Manages staff time off requests and correlating coverage of responsibilities.
    • Ensures efficient, accurate, and timely management of assigned payroll functions, and ensures compliance with payroll and timekeeping policies.
    • Participates in staff recruitment and hiring decisions.
    • Ensures staff receive complete orientation to work area with timely feedback during the probationary period.
    • Ensures ongoing training and supervision of Medical Office Assistant and technician staff, giving appropriate, timely feedback regarding concerns or issues.
    • In collaboration with pertinent health system and Ambulatory Services teams, directs required staff trainings and manages documentation of competencies to ensure assigned staff remain in compliance with policies and procedures.
    • Conducts performance evaluations in accordance with UT Southwestern policy.
    • Administers disciplinary action and development of performance improvement plans as needed with staff.
  • Clinic Operations:
    • Coordinates daily staff assignments with members of clinic leadership team to ensure the clinic is staffed appropriately for operational needs.
    • Educates and monitors all staff on processing instruments and/or scopes and ensures adherence to policies and procedures.
    • Within scope and training, inspects and troubleshoots equipment issues to ensure patient safety and proper functioning.
    • Escalates concerns to clinic leadership as appropriate.
    • Consistently manages assigned responsibilities related to departmental medical supply management and related system(s).
    • Facilitates continuing education sessions with staff to ensure departmental requirements are being maintained.
    • In collaboration with clinic leadership, may facilitate service recovery with patients and families.
    • Supports clinical staffing needs, including maintaining ability and requisite competencies to function in the CMOA role when necessary.
  • Leadership:
    • With direction of and in collaboration with departmental leadership, may develop and support clinical strategic initiatives through assigned tasks or tactics.
    • As assigned, participates in quality improvement initiatives and processes to ensure excellent patient care.
    • As assigned, participates in institutional initiatives; attends meetings, trainings, and workgroups to promote and aid in the professional growth of staff.
    • May function as a liaison with other departments regarding MOA clinic functions as needed.
    • Consistently models professional behavior consistent with the institutional PACT standards.
    • Duties performed may include one or more of the following core functions:
    • Directly interacting with or caring for patients.
    • Directly interacting with or caring for human-subjects research participants.
    • Regularly maintaining, modifying, releasing, or similarly affecting patient records (including patient financial records).
    • Regularly maintaining, modifying, releasing, or similarly affecting human-subjects research records.
  • Performs other duties as assigned.

  • Work requires the ability to relieve direct manager of administrative duties, which may include functioning as a liaison.
  • Work requires the ability to coordinate and work independently.
  • Work requires effective communication with internal and external contacts on policies and procedures.
  • Work requires great people skills to lead and manage a team effectively.
  • Work requires ability to work on confidential information on a daily basis.
  • Work requires proficient knowledge of the medical equipment used in the clinic.
  • Work requires contact with staff, physicians, leadership, medical and non-Medical Office personnel to manage vital information needed to provide optimal patient care.

Working Conditions
  • Work is performed primarily in a hospital or hospital clinic environment. Walking, standing, bending, turning and stooping.
