ROLE
The IPS Quality Assurance Supervisor is responsible for all aspects of assuring that clients and families are receiving services and that the program is meeting and exceeding all required program outcomes.
RELATIONSHIP TO AGENCY STRUCTURE
The Quality Assurance Supervisor reports to the Program Director of Intensive Prevention Services. The QAC must communicate all concerns and issues upwards to this position. He/she is part of the agency’s administrative team, and as such, has a responsibility for assisting with decision-making in all aspects of the agency.
HOURS OF WORK
Job responsibilities are based on a 40-hour week, with a sixty-minute paid lunch break. The hours of work are flexible and non-traditional given many components to the program are based after school hours and on Saturdays. As it is essential to extend to work a Saturday, in connection with the supervision of on-site programming and Applicant/incumbent needs to know that the IPS program services and caters to youth and families in their homes and on site and meeting times are based on parent’s availability. The QA coordination must be accessible to program director and when directed to workers, as workers will be in the field at all times of the day and evening working with families. Compensatory time, not overtime, is applicable to this position.
ESSENTIAL REQUIREMENTS
- The QA Supervisor will possess a Master's degree in Social Work, or related field, preferably in child welfare, plus 2-3 years of experience in a supervisory or QA position.
- The QA Supervisor must have the knowledge, skills and abilities to motivate and supervise a team of professionals and clients from diverse backgrounds.
- Ability to create and maintain a culture of quality improvement.
- An annual physical form verifying that the employee is "Free from contagion".
- Act 160 clearances and FBI clearances completed 60 days of hire date.
- The ability and willingness to adjust work hours, and days, in accord with program and client need.
- The ability and willingness to perform "On Call" duties after work hours, holidays, and week- ends in absence of Program Director.
- The use of a currently inspected car, including the possession of current automobile insurance and driver's license.
- The versatility and willingness to work with staff with a wide range of ages, from diverse educational backgrounds with varying cultural views and parenting experience.
- The ability to walk, drive, see, bend, stand, and verbally communicate to meet all program outcomes and standards.
- Ability to use and train others on the use of Microsoft Excel, Publisher, Power Point and Word for a variety of tasks.
- Ability to work collaboratively with other professionals and promote a strong sense of professionalism and good work ethics.
- Ability to lead and co-facilitate staff meetings, trainings, and focus group sessions.
- Understanding of educational, child welfare, and judicial systems and the knowledge, skills, and ability to navigate these systems successfully.
SPECIFIC RESPONSIBILITIES
- IPS is a program designed to provide a safe and holistic environment for at-risk youth to develop themselves and their confidence, through an engaging, supportive and strength based environment. IPS staff will develop programs and activities that include the 7 core concepts of resilience, which are the program’s core values.
- The QA Supervisor is responsible in ensuring that the case files are audited bi-weekly. The QA Supervisor is to review all files and to provide follow up with each member of the team to ensure that all paperwork is filed and the quality of written work, required number of contacts, all associated paperwork, and data base entries meet program standards.
- The QA Supervisor will provide supervision of case management teams.
- The QA Supervisor will attend networking events and community meetings when the Program Director is unavailable.
- The QA Supervisor is responsible for developing quality assurance surveys and exit interviews with all families and clients and providing a qualitative and quantitative report every quarter to the IPS Program Director and Executive Director. The QA Supervisor is to make recommendations and provide training to staff on ways to improve on the quality of services in conjunction with the program director and training director.
- The QA Supervisor develops new approaches to solve problems identified during quality assurance activities and tactfully presents this information to team members and director.
- The QA Supervisor is responsible for preparing and presenting technical and program information to team members and management as it relates to outcomes and standards.
- The QA Supervisor will assist and participate in unit meetings as well as all other program meetings and case conferences, including multi-disciplinary conferences and monthly case reviews.
- The QA Supervisor will evaluate and monitor facilitators.
- The QA Supervisor will create with the Program Director the monthly calendar of events by the 25th of each month.
- The QA Supervisor will research applicable trainings and provide staff with training and or coordinate trainings through the JJC human resources department in areas that will strengthen employee’s service delivery.
- Collecting all time and pay sheets and check for accuracy based on sign in and out log.
- Track admissions and discharges of all children in and out of program, so as to be able to prepare a totally accurate end-of-month statement for billing purposes.
- Receive visitors, parents and children into the office, making them feel welcome and performing general receptionist duties.
- Ensuring that the reception area is maintained in a presentable condition, including aesthetics of classrooms, office, and entrance.
- Monitoring daily census and preparing weekly census sheets.
- Maintaining supplies inventory, and call orders in to business administrator.
- Maintaining child records in file cabinets in an orderly, secure and professional manner.
- The QA Supervisor will perform all supervisory duties in the absence of program director.
Job Type: Full-time
Pay: $45,000.00 - $55,000.00 per year
