CU Science Discovery is now accepting applications for a full-time registrar for our summer K-12 camp and high school class program. This customer-focused, administrative and operations role plays an integral part in the Science Discovery summer team, communicating daily with parents, teaching assistants, instructors and staff at all levels of the organization.
About Us:
CU Science Discovery is a science, technology, engineering and math (STEM) education outreach program at the University of Colorado Boulder. Science Discovery manages programs that engage K-12 students and teachers in STEM and connect public audiences with science and research taking place at CU Boulder and CU Anschutz. Science Discovery programs utilize CU scientific expertise, equipment, resources and faculty, graduate and undergraduate students in order to provide participants with unique, experiential STEM learning experiences.
Responsibilities of this position include, but are not limited to the following:
- Ability to quickly familiarize yourself with our online registration system, Active Network's Camp and Class Manager platform (CCM)
- Keeping all summer program data current within the CCM system
- Processing registrations made by phone, as well as paper registrations submitted via mail, program partners and in-person registrations made by walk-in families
- Reviewing registrant information to be sure that Science Discovery has all it needs to ensure the child's wellbeing and safety while they are attending summer programs. This includes all registrant data, medical administration needs, learning differences and behavioral conditions
- Communicating medical needs to Science Discovery's nurse on an as needed basis
- Communicating efficiently and cordially with customers (parents), instructors (CU faculty, graduate students and undergraduate students), teaching assistants (CU undergraduates), Junior Counselor and other high school volunteers, and Science Discovery staff at all levels of the organization
- Pulling registration data on a daily and weekly basis; analyzing data and distributing it to various members of the organization
- Pulling individual reports and program rosters on a weekly basis for all upcoming programs
- Preparing weekly packets of participant information for camp and class teaching teams
- Emailing families and teaching staff with individual program details on a weekly basis throughout the multi-week summer camp program
- Processing Science Discovery's scholarship applications and managing the registration process for CU Boulder and CU Anschutz applicants
- Answering Science Discovery's main registration phone line throughout each day, and retrieving messages and returning phone calls within 12-24 hours of receipt
- Monitoring Science Discovery's main email inbox and responding to messages within the day or within 12-24 hours
- The completion of other administration or support tasks as assigned by Science Discovery staff
Requirements of this position include:
- Ability to work efficiently with minimal supervision
- Outstanding customer service skills, both written and verbal
- Excellent phone communication skills and the ability to keep a detailed phone log
- Ability to assess the scope and manage the outcome of occasionally challenging customer service situations involving parents/guardians
- Effective time management when faced with frequent interruptions
- Copious amounts of patience
- A positive, can-do, all-hands-on-deck attitude
- A willingness to step in and assist in all areas, even those deemed not your responsibility
- Proven proficiency in Microsoft suite, primarily Excel and Word. (Note: You may be asked to demonstrate Excel skills during the interview process.)
- Although not required, general Mac literacy is helpful
- Compliance with current CU and public health guidelines surrounding COVID-19 safety and precautions
- English language proficiency
Summer 2024 details:
- The 2024 summer season will run from June 3 - August 2.
- K-12 camps and classes are one week in length and will either be in a half-day or a full-day format.
Hours requirements:
From now until April 30, a commitment of 15-20 per week is preferred. Scheduling and hours are flexible.
From May 1 - August 2, a full-time commitment of 32-40 hours per week is required. There is some flexibility on the full-time start date for CU students.
