Study Abroad Coordinator
Job Description:As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University is seeking a Part-Time Study Abroad Coordinator who will promote our Catholic Franciscan mission and identity by educating and advising students interested in Study Abroad opportunities. The Study Abroad Coordinator will actively promote and market Study Abroad opportunities; develop Study Abroad programming; liaise and collaborate with faculty advisors, campus offices, and Study Abroad partner organizations; support faculty members developing faculty-led Study Abroad programs; promote inclusive excellence in Study Abroad; assess and analyze Study Abroad program evaluations to enhance students’ learning and program effectiveness; utilize technology to manage information and promote Study Abroad.
Global Engagement Office:To provide local and global educational opportunities for all Marian students to develop cultural competencies and foster global curiosity, which will prepare them as transformative leaders for service to the world.
Essential Duties and Responsibilities:
Study Abroad Advising
- Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values and honoring the legacy of the founding congregation through transformative education, unity in diversity, leadership through service, integrating faith and life, and institutional policies
- Engage in general advising for student in all stages of interest, providing comprehensive guidance and check-ins, and facilitating program selection
- Advise students who have selected a program, provide application and program assistance, including information on cultural and practical aspects, program acceptance, financial aid and scholarships, billing and registration, immigration requirements, and health and safety considerations
- Provide problem-solving assistance and answers to questions (within the bounds of FERPA) to parents, faculty, and staff
- Maintain Canvas course to ensure that students have access to all required information and to facilitate collection of all required student documentation
- Serve as a campus resource for Study Abroad, assisting faculty, staff, and students in interpreting both Marian University and Study Abroad and student exchange policies
- Manage all Study Abroad programs, including coordinating student application processes and ensuring that students meet key deadlines
Faculty-led Program Management
- Lead and initiate communication with faculty, partners/ providers, and all other relevant parties regarding program details, requirements, recruitment, and facilitation
- Collaborate with the Executive Director and Marian University departments to develop and coordinate new short-term, credit-bearing, faculty-led Study Abroad programs, including providing details of program proposals, budgets, target enrollment levels, partner agreements, timelines, and upholding Marian University policies
- Collaborate with faculty in developing Study Abroad recruitment materials and pre-departure Canvas courses
- Ensure that Marian faculty-led programs are meeting best practices for program development and health and safety protocols as established by the field of international education
- Facilitate program budgets and oversee payments to international vendors through Marian’s secure payment system
- Develop and/or facilitate pre-departure orientation sessions, materials, and activities for outgoing Study Abroad students
- Create and implement re-entry events for Study Abroad returnees
- Develop faculty workshops and resources for proposing, implementing, and evaluating short-term, faculty-led Study Abroad programs
- Present workshops and develop discipline-specific guides for academic advisors on including Study Abroad in students’ degree plans
- Create a peer advisor network of Study Abroad alumni
Promotion and Communications
- Assist with communication, outreach, and recruitment activities to promote Study Abroad opportunities
- Create and implement a social media campaign to promote Study Abroad
- Represent Study Abroad at University events, such as Student Orientation & Registration (SOAR), Student Activity Fairs, International Education Week, Study Abroad Photo Contest, and Accepted Student Day
- Organize the annual Study Abroad fair
- Provide timely communications throughout all phases of Study Abroad: preparation, participation, and re-entry
- Maintains Study Abroad website and social media accounts
- Assist faculty with creating and maintaining faculty-led Study Abroad promotional materials
- Collaborates with Director of Global Prestige Awards to support efforts to expand post-graduate grants and awards
- Collaborates with Executive Director to develop inclusive excellence, promoting diversity, equity, and inclusion in Study Abroad
General Operations
- Develop and maintain the Study Abroad budget, responsible for annual reporting
- Attend all required Marian University meetings and participate, as possible in global events
- Share supervisor responsibilities of Global Engagement Office student workers and peer advisors
- Provide support for GEO responsibilities, including backing up primary international student support staff member
- Contribute to the collaborative planning and execution of Marian University strategic priorities
- Represent Marian University locally, nationally, and internationally, as needed
- Maintain knowledge base in field through professional development; attend conferences and workshops as appropriate on a rotating basis
- Assist with planning visits for Study Abroad providers and other international guests of the department
- Support funding initiatives/grant applications that are related to international study and global engagement at Marian
- Other duties as assigned by supervisor
Required Qualifications:
- Knowledge of and commitment to the mission of Marian University.
- Bachelor’s degree in international relations/studies, international or higher education, intercultural communication, global business, foreign language, history, or similar field.
- A minimum of one year of international education experience and a significant experience abroad either studying, living, volunteering, and/or working abroad.
- A minimum of one year of experience working in higher education student affairs.
- Excellent communication and interpersonal skills.
- Considerable experience with social media and familiarity with basic marketing skills.
- Commitment and ability to work with individuals from diverse cultures and backgrounds.
- Strong initiative, critical-thinking, multi-tasking, and problem-solving skills;
- Desire a detail-oriented self-starter who can be given a need or objective, break it down into executable pieces, identify questions that need to be asked, prioritize, and executive effectively;
- Ability to work independently with minimal guidance and direction, as well as within a team environment;
- High ethical standards for maintaining confidential information;
- A sense of humor appreciated.
