JOB DUTIES:


WORKING TITLE: Student Services Specialist

UW SYSTEM OFFICIAL TITLE: Student Processing Specialist

POSTING DATE: February 13, 2024

ESSENTIAL JOB FUNCTIONS:

This position reports to the Enrollment Services Manager and interacts with students as they matriculate by providing a variety of administrative support and coordination for student process including admissions, registration, financial aid, academic progress, graduation, international education, and course scheduling. Provides information to students, faculty, and staff regarding related processes and maintains and updates student records. Strives to create a welcoming, equitable, and inclusive work environment.

Assist clients (i.e., enrolled and prospective students, parents, faculty, staff and the general public) with routine transactions and inquiries, educate clients about university policies, procedures and resources, advise clients about alternative courses of action, and work collaboratively with other university offices and external agencies on behalf of clients to expedite problem resolution. Specialists respond proactively to phone, e-mail and in-person inquiries and transactional requests by clarifying the request, diagnosing the problem, researching the resolution, acting on the request, and following up as appropriate. Specialists make recommendations to the Enrollment Services Manager, the Enrollment Services Directors and Dean on procedural and/or business practice improvements and help track customer service metrics to continuously improve Student Services and satisfaction.

This position includes the following responsibilities:

  • Provides direction to students and prospective students on a variety of processes including application, registration, financial status, academic and recreational programs, and graduation and licensure requirements.
  • Applies knowledge of programs, procedures, and policies to provide administrative support and assistance in a Student Services function, escalating more complex decisions to other personnel.
  • Complete projects as requested by supported offices (i.e. Making phone calls to prospective or recently admitted students, preparing mailers for financial aid, or updating student records to include in a particular student group).
  • Meet and present to prospective students and families at campus events.
  • Tracks prospective and/or current student status on academic progress or related areas.

QUALIFICATIONS:


MINIMUM QUALIFICATIONS:

  • Bachelor's Degree at time of application
  • Strong technical skills; proficiency with MS office suite, internet research, databases and other software

PREFERRED QUALIFICATIONS:

  • Bilingual in Spanish, Hmong, Somali or Oneida
  • One year experience (professional or student employment) in a direct customer service position in a higher education service office or similar customer service capacity
  • Working experience with an integrated data base, PeopleSoft proficiency
  • Direct Admissions, Financial Aid or Registration experience
  • Experience working with ethnically diverse students

PHYSICAL QUALIFICATIONS:

  • While performing the duties of this position, the employee must have the mobility to work in a standard office setting and to use standard office equipment, hearing and speech to converse in person and over the telephone and vision to read printed materials and a computer screen. SPECIAL NOTES:


Position is a full-time University Staff appointment. The work hours for this position will be 7:45 a.m. ¿ 4:30 p.m., Monday through Friday. Occasional early evening and/or weekend availability, depending on department needs, is expected. Some professional development travel required for training and skill development.

SALARY INFORMATION

Minimum hourly salary of $20.59.

This position will earn an additional $0.60 per hour for all weekend hours worked and an additional $0.45 per hour for all hours worked between 6:00 p.m. and 6:00 a.m.

This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

BENEFIT DETAILS

UW System provides an excellent benefits package to meet the diverse needs of its employees. Our benefits package also includes dental, vision, several life insurance options, AD&D and Accident insurance and Flexible Spending and Health Savings Accounts. We participate in the Wisconsin Retirement System (WRS), where employer contributions begin immediately and employees are fully vested after 5 years of service. The UW System also provides supplemental retirement savings programs including a 403(b) and Deferred Compensation.

In addition, employees receive several types of paid leave benefits, which are prorated for employees working less than 100%. This includes 9 legal holidays, 36 hours of personal holiday and between 96-130 hours of sick leave annually. Employees earn 13-27 days of vacation each year, depending on years of service and employment type.
