Job Objective:
Working under the supervision of the Resources Manager, the Student Services Coordinator is responsible for providing exceptional customer service to those receiving educational loans from The Salvation Army Central Territory, which includes the maintenance of all student loans processes, the records database, monthly and annual reporting, all communications with student loan customers and some secretarial duties.
Essential Duties:
Customer Service
- Maintain consistent and timely communication with customers, including initiation and response to all email, phone and written communications with principal and co-makers of loans with respect to status letters, coupon booklets, student billing, delinquency and default notifications, and customer inquiries
- Maintain consistent and timely reporting concerning all areas related to the management of Student Loans with direct supervisor, Salvation Army Divisions, Candidates department, and College for Officer Training as required, including status, delinquency and default reports
- Assist other areas of department with customer service as requested
Student Loans/Officer Child Grant
- Process student loan/officer child grant applications
- Prepare/submit check requests and mail payments
- Prepare and distribute monthly billing booklets and repayment related communications
- Record and deposit payments in appropriate database and with Finance Department
- Maintain all loan/officer child grant records; including financial reports, applications, and payment deposits and receipts
- Maintain an accurate and current database
- Prepare and distribute monthly reports for direct supervisor, divisions, and Education Committee
- Prepare annual year-end reports
- Prepare and distribute Repayment agreements, including requests for payment reduction
- Distribute repayment invoices and notices; including status letters, delinquency and default notifications, annual coupon books and 5 year officer coupon books
- Prepare and process Defaulted loans, including billing invoices to divisions
- Coordinate with supervisor on Officer Child grant applications and referrals for Beyond 8 child grant extensions
- Assist with Cadet Debt Assistance Reimbursement processing and record keeping
Cadet Debt Assistance Program (Reimbursement Processing)
- Receive and direct CDAP (Cadet Debt Assistant Program) communications
- Assist Resource Coordinator with CDAP program communications to officers, Divisional Commanders, Divisional leaders, and College for Officer Training
- Prepare and process CDAP reimbursement requests from cadets and officers
- Prepare College for Officer Training CDAP Orientation materials and attend event
- Assist in communication with Finance as needed for CDAP
Departmental Duties
- Assist with Biblical Education Tour organization send-off
- Assist with Connection Retreat preparation
- Assist with SACEP (Salvation Army Continuing Education Program) communications, course database, record keeping
- Assist with Educational Records filing and keeping, including updating OMS (Officer Management System) and Content Central
- Assist with departmental projects when necessary
- Attend conferences/seminars as assigned
Education Experience:
High School Diploma; Associate's degree in General Business, Bookkeeping or related field preferred
3 years customer service and office administration experience
OR: Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.

- Accounting skills, i.e. basic math skills, invoice calculations, account balancing and reconciling, interest calculations

- Proficiency with computer skills including Microsoft Excel, Outlook, Word (Windows OS and Web-Based environments); Proficiency with Lotus Notes and Access preferred
- Skilled with office management systems and procedures, including document scanning and electronic files

Physical Requirements:
Speaking, hearing and vision ability, manual dexterity, ability to lift and carry up to 25 pounds occasionally. Walking intermittently.
