This position is open in our Austin, Chicago, Houston, Kansas City, Milwaukee, Phoenix, or St. Louis offices. This position will be expected to work onsite 3-4 days per week.
The Legal Recruiting Coordinator supports the Director of Legal Recruiting, Legal Recruiting Manager, and Chief Growth Officer (CGO). This position coordinates recruiting and hiring processes for summer associates and entry-level associates and assists in other lawyer recruiting and retention efforts as needed. This position also provides administrative support to the GAA Hiring Committee. Essential functions include:
- Responsible for development and implementation of law student recruiting and hiring efforts, working with the Director of Legal Recruiting, Legal Recruiting Manager, other members of the Legal Recruiting student team, and City Hiring Chairs and their committees.
- Coordinate traditional summer associate and new “fall” associate recruiting and hiring:
- Manage the scheduling of on-campus interviews (“OCI”) and job fairs.
- Submit job postings to law school job boards.
- Coordinate call-back interviews for 2L candidates and interview schedules for 1L candidates.
- Organize and prepare candidate information/evaluations for City Hiring Chairs and committees.
- Manage and confirm candidate travel, hotel, and transportation arrangements; prepare and processes candidate travel expenses.
- Update candidate database information and prepare status reports as needed.
- Communicate with candidates throughout the recruiting and hiring process.
- Prepare candidate offer letters and ensure they are in proper form and approved.
- Maintain spreadsheet of bar exams for incoming fall associates and handle reimbursements and direct-bill payments for bar review courses and bar exam expenses.
- Coordinate salary stipends for incoming associates who are studying for the bar exam.
- Assist with organization and planning of student receptions.
- Assist with Summer and Fall Associate orientation programs.
- Assist as needed with Summer Associate programming, including substantive and social events.
- Assist with diversity and retention projects and initiatives as requested by the Chief Growth Officer or Director of Legal Recruiting.
- Support student recruiting team in preparation for annual Hiring Committee meeting.
- Assist with completion of annual NALP Directory of Legal Employers submission, NALP Fall Recruiting Survey, and responses to other inquiries as needed.
- Track, distribute, and replenish inventory of promotional items for student recruiting events.
- Assist in testing and implementation of new functions and procedures in vi Wave as requested.
- Prepare and submit check requests and business/personal reimbursements.
- Track department expenditures and assist with budget reporting.
- Make travel arrangements for Director and Manager.
- Maintain accurate and up-to-date recruiting records and files.
- Assist with and support lateral recruiting efforts when needed.
- Other special projects as assigned.
POSITION REQUIREMENTS
- High School Diploma or GED required; 2-year degree preferred.
- 3-5 years’ experience required, preferably at an administrative level in the legal or professional services industry.
- Experience in managing process recordkeeping, databases, and scanned documents (vi Wave experience preferred).
- Proficiency in Microsoft Office computer applications (graphics/layout application experience for publications preferred).
- Typing/Word Processing at a minimum of 40 WPM.
- Ability to maintain confidentiality regarding candidates, as well as firm and recruiting matters.
- Ability to understand the overall firm wide recruiting and professional development process.
- Possess understanding of basic office methods, practices, and procedures, including filing systems, spelling, grammar and punctuation, as well as a general knowledge of principles related to personnel and recruiting policies.
