Job description

Join Birds Eye Medical as a Staffing Scheduler Coordinator and play a crucial role in maintaining effective communication within the administrative team, promptly updating them on staffing changes and critical updates. Responsibilities include detailed process analyses, strategic enhancements, and SOP implementation for operational optimization. Proactively identifying staffing needs and efficiently scheduling staff for Mobile Clinic events are crucial to maintaining a well-supported team. Safeguard sensitive information, utilize advanced mapping tools for precise documentation, and collaborate on monthly invoices with precision.

Key Responsibilities:

  • Efficiently schedule staff for Mobile Clinic events using scheduling and MS Office 365 software.
  • Adeptly resolving scheduling conflicts and providing valuable feedback to the Mobile Teams Project Manager on clinic requests.
  • Maintain communication channels with the administrative team, promptly notifying them of any staffing changes and updates.
  • Attend or host important Teams meetings with department leads and shareholders to meet scheduling needs.
  • Utilize advanced mapping tools to track routes, time, and mileage for clinics, ensuring precise documentation and adherence to operational standards.
  • Compile and maintain comprehensive detailed, accurate data within our invoicing system.
  • Maintain the scheduling system with accuracy, handling scheduling, timecard corrections and payroll-related information professionally.
  • Conduct audits of timecards, addressing any inconsistencies promptly and professionally.
  • Provide on-call support during clinic hours, resolving any scheduling conflicts as they arise.
  • Arrange hotel accommodations for staff participating in clinic events that necessitate overnight stays.
  • Fulfill any additional responsibilities assigned by management to ensure the smooth and organized scheduling of staff.

  • Exceptional organizational and time management skills to manage multiple priorities while remaining professional and calm.
  • Attention to detail to maintain a high-volume level of accuracy; ability to work independently and perform functions with minimal supervision; be self-directed; flexible and prioritize.
  • Technological skills, such as using MS Office 365, scheduling software, and spreadsheets, to track data.
  • Interpersonal skills to interact positively with many diverse individuals.
  • Works well in an environment with firm deadlines; results-oriented; ability to work independently and as part of a team.

Position Details:

  • Schedule: Monday – Friday, 8-hour shifts, flex hours, with on-call support for evenings and weekends on a rotating schedule.
  • Location: Lacey, WA, with a hybrid work schedule after the introductory period.
  • Pay: $46,000 - $64,431
  • FLSA Status: Non-Exempt

Minimum Qualifications:

  • 1-2 years of experience in a similar administrative position.
  • Bachelor's Degree preferred.
