Staff Assistant
Required Qualification (as evidenced by an attached resume):
Preferred Qualifications:
- Act as initial and primary contact for the programs
- Receives and responds to all incoming program calls and emails
- Assists with managing the program directors’ calendars
- Responds to and manages facility queries
- Manages and orders office supplies for the programs
- Attends, records, and distributes meeting minutes and maintains an up-to-date record of meeting minutes for the programs
- Facilitate personnel related transactions/paperwork for the programs
- Coordinates processing of procurement and other expenditures including reconciliation for the programs
- Develops, maintains, updates, and summarizes databases for external program accreditation, university, and other needed reports for the programs including annual reports
- Assists the program directors and faculty with planning and implementing alternate sources of funding (grants, workshops, seminars)Provides administrative support for the clinical education programs including tracking of hours and clinical agreements
- Coordinates the orientation process for new students in the programs
- Maintains all records including admissions, registration, Castlebranch, graduation clearances and other needed clearances/requirements and certifications for the programs
- Assists potential students with administrative aspects needed to ensure timely successful completion of applications to the programs
- Reviews transcripts of applicants to determine if prerequisites are met for the programs
- Learns and utilizes admission software systems to review applicants, schedule interviews and prepare data for acceptance of students into the programs
- Assists with student advisement for the programs
- Works with administration to complete master schedule, class scheduling and room requests for the programs
- Assists the program directors with review and updating of all marketing materials for the websites and bulletin as well as student handbooks, newsletters and social media for the programs
- Other related duties as assigned as appropriate to rank and programmatic mission
Special Notes:
This is a full-time appointment. FLSA Non-Exempt position, eligible for the overtime provisions of the FLSA.
In addition to the employee's base salary, this position is eligible for $3,087 UUP annual location pay, paid biweekly.
