JOB TITLE: STAFF ACCOUNTANT
DIVISION: FINANCE

ORGANIZATIONAL RELATIONSHIPS:
Reports directly to the Controller
SUMMARY OF PRIMARY FUNCTIONS:
The Staff Accountant is responsible for supervising accounting staff, overseeing internal controls, setting financial targets, conducting feasibility studies, monitoring expenditures, overseeing annual insurance renewals, monitoring cash flow, and managing reporting and tax compliance. On the program level, the Staff Accountant is responsible for the timely and accurate submission of the Head Start and other program billings, in-kind reports, and other reports required by the funders. In addition, the Staff Accountant prepares the reconciliation of the associated revenue and receivables accounts in the general ledger for the month-end closing. The Staff Accountant acts as a fiscal representative of the programs for the agency to various funders and auditors. Assists, as needed, to provide a variety of tasks to maintain and enhance the operation of the programs. May perform other duties as assigned.
PRINCIPLE DUTIES AND RESPONSIBILITIES:
Implement regular training sessions for new agency staff to explain finance procedures and protocols. Create a training manual for key staff members. Ensure all staff are utilizing the correct processes.
Implement monthly fiscal meetings with program, Directors to ensure expenditures are on track and in compliance with approved budget. Submit program revision/modifications as applicable.
Prepares monthly, quarterly, and annual reporting to the Controller, management, and funders. Assist the Controller with the preparation of reports for the Fiscal Committee and Board of Directors meetings.
Maintain system of internal controls, accounting policies and procedures and costa allocation plan.
Assist Executive Vice President Finance Administration and Controller with annual budgeting process.
Assist Controller and EVP Finance Administration with research and assessment of private and public funding opportunities. Participate as member of grant writing team.
Maintain organizational profiles in private and government databases such as Dun and Bradstreet, System of Award Management (SAM), Charity Navigator and comparable sites.
Serve as fiscal expert for Head Start/Childcare partners/providers, provide assistance with budgets and fiscal reporting.
Provide monitoring site visits to partners as needed.
Review expenditure requests to ensure they comply with procurement requirements. Aggregate requests for periodic cash draws.
Update applicable cash draw and in-kind schedules. Transmit information to appropriate parties.
Review and ensure appropriate approvals for all program invoices and submit to funders. Review actual-to-budget expenditures with program and fiscal management. Prepare all required internal financial reports for Parent Policy council and the Board of Directors. Review and approve all in-kind reports.
Assist with funder audits and other requirements as they arise on a daily, weekly, monthly, quarterly, or annual basis.
Collaborate with Site Coordinators to ensure both fiscal and programmatic requirements are met and in compliance with Performance Standards, in addition to maintaining inventory logs with annual onsite inventory audits.
Special projects and duties as assigned.
QUALIFICATIONS:
B.S. in Accounting and/or related field with three (4) or more years’ Head Start/EHS and/ nonprofit experience.
Analytical and critical thinking skills; possesses a solid understanding of accounting principles and state/federal guidelines and regulations.
Possesses good strategic thinking, sound judgment, leadership skills, and professionalism.
Initiative-taker, detail-oriented, and well-organized.
Technology savvy, proficiency in MS Office (Word, Excel) and General Ledger Packages, preferably Quick Books.
Exceptional interpersonal skills and demonstrated ability to work with diverse groups.
Ability to work under pressure, meets deadlines, and is responsive to changes in deadlines and assignments.
Must be a team player, collaborator and able to adapt to changes as project may arise.
Accountable for maintaining daily work schedules, ethical standards, and confidentiality of information contained in company business records and systems.
Necessary Special Qualifications:
Requires a post-offer criminal background check, reference check, drug test.
Experience with Head Start and/or Early Head Start, Childcare a plus.
Out-of-town travel may be required.
Work Schedule:
Full-time, Regular
Salary Range $58,000 - $63,000 based on experience.
