Sr Retirement Plan Administrator (U.S)
Description -
The Sr. Retirement Plan Administrator position is responsible for performing day-to-day and complex administrative duties related to 401(k), Defined benefit pension, and Non-Qualified plans for HP Plans in U.S., Canada. and Puerto Rico.
Please note this position will be hybrid, with 2-3 days onsite for work collaboration.
Specific responsibilities include:

  • Support bi-weekly 401(k) plan funding process and accounting reconciliation.
  • Assist with research, reporting, and data collection for internal and external audits.
  • Process annual/monthly distributions and funding to HP's legacy and frozen Retirement Plans.
  • Calculate, process and audit company match contributions.
  • Oversee Plan non-discrimination testing process with vendors.
  • Resolve participant inquiries through internal HR Ticket system.
  • Perform monthly reconciliation of non-qualified plan including eligibility status review, and ensuring contributions are aligned between all systems.
  • Review, track and oversee vendor invoice processing.
  • Work with the Legal Department on benefit claims and appeals.
  • Assist US Retirement Manager in Non-Qualified Plan annual enrolment.
  • Update Summary Plan Description (SPD) for all plans annually.
  • Draft revisions to plan documents for review by Retirement Plans Manager.
  • Partner with Retirement Plans Manager in support of all vendor relationship management activities.
  • Counsel executives and staff members approaching retirement about the impact to their Retirement Plans. Create, facilitate, and produce educational modules and presentations.
  • Work closely with the Retirement Plans Manager on compliance matters, mandated testing, and audits. Review Form 5500's, Schedules and other IRS forms for submission to Retirement Plans Manager.
  • Ensure all plans are administered in accordance with plan documents and in compliance with Federal laws and regulations.
  • Assist with resolving plan service requests and file feed errors in a timely manner.

Education and Experience Required:
  • Bachelor's Degree in Human Resources or related field or equivalent professional experience.
  • 5+ years of experience in administration of defined contribution Retirement Plans, preferably 403(b) and/or money purchase plans.
  • Proven experience interpreting plan documents.
  • Thorough understanding of applicable pension plan regulations.
  • Excellent verbal and written communication and presentation skills.
  • Exceptional organizational skills, ability to meet deadlines and attention to detail.
  • Superior customer service, teamwork and interpersonal skills.
  • Strong problem solving skills with demonstrated proactive initiative in tackling issues.
  • Strong vendor relationship management skills

Knowledge and Skills Required:
  • Generates and analyzes statistical data reports.
  • Reads and comprehends Retirement Plan provisions from plan documents, summaries of plan provisions, and related plan materials to ensure accuracy and compliance with regulations.
  • Develops, prepares, and manages project plan through completion.
  • Communicates activity progress to involved parties.
  • Resolves issues that arise involving client, when appropriate.
  • Expert level in Word, Excel, Outlook, and PowerPoint.
