Purpose

This position is responsible for oversight and processing of Windigo’s payroll, time, and attendance for approximately 1700 associates at multiple Distribution Centers including Windigo corporate. Ensures accurate calculation of hours, wages, and company deductions. Position works closely with our payroll provider, ADP, and Human Resources to ensures accuracy of payroll expense for the organization. This position will also support Windigo’s financial and operational results and reporting, as all team members will be crossed trained on all finance areas.

Duties and Responsibilities

  • Reviews, audits, and approves weekly payroll timesheets for accuracy ensuring final paid hours follow our union contract language.
  • Prepares final payroll reports for our payroll vendor and communicates closely with them to finalize payroll.
    1. Review and submission of DC’s incentive pay.
    2. Creation of weekly payroll file for Exempt associates.
  • Oversight and management of organization’s deduct, memo and pay codes in ADP system.
  • Manages and supports various payroll requests outside of normal timesheet process which includes:
    1. Review and submits manual check requests
    2. Timely completion of required documentation for terminated associates
    3. Monitors outstanding checks closely which requires completion of stop payments form and reissuance of checks.
  • Reviews and completes weekly time summary reports for accurate financial reporting on hours and wages.
  • Expertise on timeclock systems and tools to manage and update contract rules and maintaining pay rules.
  • Develop and submit accurate payroll reports for various deduct codes.
    1. Verify pension/union dues invoices against ADP reporting and submit ACH payment.
    2. Complete and verify weekly HSA contributions and create Wells Fargo Wire Transfer.
    3. Reviews and reconciles for accuracy 401K contributions vs Wells Fargo payments.
  • Performs tasks necessary for completion of various financial and operational analysis projects.
  • Position will be cross trained in the other areas of the finance department.

Senior Level Responsibilities:

  • Prepares weekly payroll GL report for our 3rd party accounting service.
  • Responsible for development and accuracy of union related reporting.
    1. Complete monthly pension reporting for Local 1 and 455 unions.
    2. Create weekly and period union dues report and submit for payment.
    3. Ensure accuracy of union deductions, arrears and initiation dues are correct in ADP.
    4. Create accurate political contributions reporting.
  • Reviews payroll provider invoices and wire confirmations. Follow up on returned funds and complete accounting classification for accurate financial reporting.

Job Requirements

Relevant Experience, Education, Certification, Knowledge Skills and Abilities

  • Bachelor's degree in accounting, finance, related field, or equivalent experience in specific areas related to successful performance.
  • 3-5 years of experience with experience in accounting, financial reporting and analysis, budgeting, operational analysis, and metrics preferred.
  • 2-4 years of experience in payroll and timeclock systems specifically ADP systems.
  • Advanced PC skills: ie: databases, spreadsheets, accounting software/systems, and presentations.
  • Superior organizational and attention to detail skills. Must be able to juggle multiple priorities and acts independently to ensure quality work is completed timely.
  • Excellent problem-solving skills and willingness to learn. Position requires candidate to work collaboratively with DCs and Human Resources and provide regular communication on any obstacles or setbacks.
  • Excellent interpersonal and customer service skills. Must be able to see the big picture expectations within day to day activities.
  • Excellent oral and written communication skills. Position requires candidate to prepare and provide detailed information on payroll and financial results.
  • Excellent skills in dealing with fast pace, changing, and challenging situations.
  • Strong ability for recognizing better and innovative ways to accomplish objectives.
  • Proven success in influencing behavior without direct authority.
  • Maintains confidentiality of information and must be able to act independently in a professional manner.

Physical Environment

  • Some travel may be required, this position will have need to have presence at the Colorado facilities on a

regular basis

  • Most work is performed in a temperature-controlled office environment
  • Incumbent may sit for long periods of time at desk or computer terminal
  • Incumbent may use calculators, keyboards, telephone, and other office equipment during normal workday
  • Stooping, bending, twisting, and reaching may be required in completion of job duties
