This role is a high-profile position responsible for the planning and production of corporate events and meetings and will be required to lead teams from inception through all phases to successful execution, debrief, and reconciliation. Exceptional corporate event planning and logistic skills, with a proven history of having produced small-to-large scale virtual, hybrid, and in-person events is required.

The ideal candidate will be comfortable collaborating with C-level executives, various senior business leadership, and will excel at providing exceptional customer service and support to our external Carrier and Member Firms community. The position will require you to excel at multitasking, work independently, and thrive in a fast-paced, dynamic, and collaborative environment. You must be a business professional that exhibits strong interpersonal skills and possesses strong leadership and coaching skills.

RESPONSIBILITIES

  • Responsible for the successful planning and production of select M Financial meetings and events, which include but will not be limited to webinars, town halls, Board of Directors, leadership retreats, special events, virtual conferences, company and employee events (summer picnic, holiday party); support a variety of the organization's larger signature events
  • Meeting and event logistics planning; RFP creation, strategic sourcing, site inspection and planning meetings, registration, housing and room block management, space allocation, set-up and floorplans, food & beverage planning, transportation, activities, entertainment, special events theming and décor, security services, giveaways and promotions, shipping
  • Extensive project management, lead cross-team and -department planning and collaboration; manage internal team members, third party consultants, venue and hotel staff, and many other service providers
  • Develop comprehensive communication campaigns, establish timelines, forecast event marketing content and CTAs, materials copywriting, distribution lists, email set-up and deployment, analytics and reporting
  • Lead creative and graphic design teams in the creation and production of extensive digital and print materials; event theme development, taglines, logos, creative style guides, signage and collateral, environmental branding, and many other materials; manage proof, approval, and production cycles
  • Manage the technical planning and production of virtual and in-person shows; source and manage vendor services, set-up virtual host environments, lead main stage design and buildout, audio visual, lighting and sound, and other special technical or production requirements
  • Develop sponsorship and exhibition opportunities; design packages and inclusions, manage pricing, create promotional or logistic planning materials, manage communications and fulfillment, exhibit and vendor service management, produce custom display assets, oversee installation and dismantle
  • Skilled contract negotiations, responsible for leading review and execution, modify contract terms to limit or mitigate M Financial legal, financial, or other liability and exposure, manage legal counsel and executive review cycles, ability to summarize terms and savings
  • Prepare detailed program specifications, production schedules, run of show, program guides, and event playbooks as required
  • Other duties as required or assigned


MINIMUM QUALIFICATION

  • Bachelor's degree in business, marketing or equivalent
  • Certified Meeting Planner (CMP) and/or Certified Meeting Management (CMM) designation
  • Minimum 8 years' experience leading and managing a corporate events team
  • Minimum 15 years' experience in corporate meeting and event planning, management, marketing and production; international travel experience required
  • Expert capabilities and proven skillset planning and producing in-person, hybrid, and virtual events
  • Superior oral and written communication skills with an unmatched attention to details
  • Advanced computer skills including Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams), cVent, Zoom (webinars and breakout sessions); Smartsheet, Salesforce, Concur, and Wrike experience a plus


JOB CONDITIONS AND ENVIRONMENT

  • Extensive use of PC's, computer terminal, display, keyboard, and mouse
  • Willing to work extended office hours and weekends, as required
  • Availability to travel both domestic and international with limited notice and for lengthy durations (estimated 25%), must have a valid US passport
  • Must reside locally and required to come into corporate offices minimum 3 days per week
  • Extensive hands-on work with documents, spreadsheets and other written documents
