JOB PURPOSE
This role is a team member of the in-house creative agency and works closely with partners across many divisions that contribute to the creation of consumer goods packaging which is governed by the FDA. Independently manages and oversees the full lifecycle of packaging project briefs and artwork approvals in Artwork Management System (AMS) to ensure continuous flow through the multi-stage, multi-department/agency data entry and artwork approvals. Works with Packaging Production Supervisor to proactively plan and prioritize projects for Production Artist team. Recommends prioritization of projects for own team as well as cross functional and cross organization teams. Communicates priority to project teams and ensures management is aware of high-profile projects. Drives efficiencies and maximizes agency effectiveness by finding the root causes to challenges. Proactively recommends solutions and best practices to implement after gathering input from cross functional partners while minimizing risk to the organization. Works with NPD, Global Creative teams, and internal Mary Kay clients to control job scope, project timeliness and ensures resources are assigned accurately. Serves as a back-up to the Artwork Data Manager as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Packaging Project Briefs - Traffic project briefs in AMS and Agile
• Runs data capture report daily and notifies task owners across multiple departments of task due dates, follows up on late data capture task.
• Collaborates with data owners when issues arise that may prevent them from completing their tasks and facilitates solutions that keep the project on-time. Notifies program manager if any updates to the timing or program need to be addressed.
• Reroutes project briefs to data owners for missing information after they have completed their tasks and signs off on project briefs to ADM for audit process.
• Prioritizes project briefs based on project scope and artwork due dates.
• Negotiates updated art due dates from PMO for projects that are running late and informs PPS.
Packaging Art Boards - Traffic packaging art boards in AMS
• Receives project briefs into production and informs PPS on Production Artists assignments and workload management.
• Tracks all incoming briefs per project and negotiates updated art due dates from PMO, buyers, contractors or appropriate owner of the project.
• Assigns appropriate data owners for artwork routing in order to gain approval through corporate departments (Brand Marketing, Package Engineering, Regulatory, Legal, and international subsidiaries, including translators).
• Utilizes the traffic report to follow up with task owners on due tasks and late tasks. Pulls component status report and follows up with internal task owners on due tasks and late tasks.
• Communicates changing information, including deadlines, copy revisions, etc. to all involved parties throughout the life of each project to ensure the needs of the project are being met.
• Ensures specialized artwork processes are followed to their documented specifications. Provides reporting on status of the special project to team members and PPS throughout project duration to make sure of on-time delivery.
Metrics and Reporting - Creates and distributes various reports to keep individuals apprised of project status.
• Weekly Priority Reports - Used to run bi-weekly Production status meetings and adjust priority based on due date and component
• Monthly Approved Art Report - Sent to Finance to allocate funds to Stephens group
• Weekly Packaging Report - Friday report that goes to all AMS/NPD users to see status of all projects currently active in AMS
• Creative Core Report - used for Production artist to know which Art Director to route art board they are creating
• Updated Briefs in Audit Report - Used to run bi-weekly Production status meetings and adjust priority based on due date and component
• Utilizes component status reports on semi-monthly basis to forecasts upcoming production volume, uses report to recommend to PPS upcoming workload to make sure art board production is covered and if any gaps will be available for packaging artist to assist with marketing toolkit production.
Artwork Data Management - Serves as a back-up for the Artwork Data Manager
Auditing Project Briefs
• Reviews packaging-art project briefs before submitting to production, ensuring copy is complete and compliant, confirms it follows Production standards, and is consistent with other packaging art for that product, product line and region.
• Guides users from many departments and from subsidiaries on the correct way to provide copy content for packaging artwork. Holds data contributors accountable for correcting missing/inaccurate information in a timely manner before releasing to Production.
• Assigns projects for all regions to appropriate workflow.
• Close and complete ADM tasks listed in weekly Print Proof Approved Report.
Understands Packaging-Content Database
  • Maintains AMS packaging-content database library. Reviews content for grammatical correctness, duplication prevention, compliance with Company style, and ensures that English content is available for all regional versions of packaging art.
  • Understand all facets of the Translation Exchange Report (TER) process, from creation to loading received content into database library.
  • This job requires on-site work at a Mary Kay facility.

KNOWLEDGE, SKILLS AND ABILITIES
Education - Bachelor's degree in communications or business or equivalent applicable experience.
Experience - Minimum 2 years of experience in the traffic/communications/packaging field.
• Must be highly detail oriented, extremely organized and possess exceptional skills to coordinate and monitor workflows. Consumer packaged goods and FDA regulation experience is highly preferred in order to understand how changes throughout the packaging process affect the end product and the overall project workflow.
• The ability to multi-task and adjust to changing production schedules is required.
• Must possess problem solving skills to look for potential issues with packaging artwork and to independently work with group owners to drive solutions. Able to distinguish between relevant and irrelevant information and focus on what is critical.
• Must have strong interpersonal skills and be able to clearly communicate with co-workers, team members, vendors and management to keep projects moving. Leverage knowledge and understanding of packaging engineering, printing, production and local and subsidiary regulations to facilitate effective communication between departments. Must be able to facilitate meetings with clients and creative teams and present to management. Diplomacy in working through interpersonal conflicts in an emotional, creative environment is necessary.
• Must be able to communicate complex and technical information in a way that audiences can quickly understand the issues and opportunities.
• Must be able to use computer tracking systems. Working knowledge of Microsoft Word, Excel, Acrobat, Agile, Outlook and are necessary to locate information and create customized reports.
• Must be able to work proactively with minimal supervision. Meets and exceeds job requirements without direction. Must be assertive, results-oriented, solutions-focused and possess good business judgement to effectively lead and influence project development.
• Proven experience in managing projects at an advertising agency or marketing communications environment is necessary. Familiarity with creative development process from creative strategy through print production is essential.
• Must be able to build and maintain relationships across multiple departments.
