RESPONSIBLE TO: Support Services Coordinator

POSITIONS SUPERVISED: None

WAGES/SALARY: $18.75

TIME COMMITMENT: Full time 32 hours/week; 8-5pm with one hour lunch four days per week

GENERAL SUMMARY:

The Special Projects Assistant will provide support to all agency staff in the completion of Special Projects that are focused on increasing access to services for survivors of all populations. The position calls for the ability to work in a fast-paced and productive work environment where organizational and planning skills are fully utilized. The Special Projects Assistant will approach all tasks as a member of a team of professional peers who value co-leadership and collaboration. This person should have proven strong interpersonal and communication skills plus the ability to handle multiple tasks efficiently and accurately. Able to work under pressure and successfully deal with competing demands while maintaining complete confidentiality. They will understand and model the application of the Core Competencies of Advocacy to their work with colleagues, community partners, survivors and others.

PROFESSIONAL REQUIREMENTS:

  • Passion for social justice and the mission of the agency.
  • Committed to the elimination of racism, sexism, classism, homophobia and other forms of oppression and an understanding of intersectionality and how identity impacts trauma.
  • Openness to learn and teach about trauma-informed services and survivor-centered approaches to working with victims of stalking, sexual and domestic violence.
  • Ability to address one’s own privilege when working with diverse populations.
  • High comfort level working in a stressful environment, and the ability to self-motivate.
  • Excellent interpersonal skills and a collaborative work style when approaching colleagues, survivors, and community partners.
  • Proficiency in creating and editing documents and trainings using Word and Power Point and utilizing Outlook for electronic mail communications.
  • Imaginative big picture thinker who has the flexibility to think outside of the box, try new ideas and let go of those that are not bearing fruit.
  • Excellent oral and written communication skills in an environment where clear and consistent communication is expected and required among all staff.

ESSENTIAL DUTIES & RESPONSIBILITIES Other duties may be assigned

  • Oversee the daily tracking of and Special Projects program funds.
  • Collaborate with leadership to complete internal and external reports as assigned.
  • ·Assist with IT support related tasks as assigned.
  • Act as the point of contact for all technical support for employees.
  • Review and evaluate requests for specific (financial) assistance as related to Special Projects program funds and communicate to program coordinators as required in order for equitable spending decisions to be made.
  • Evaluate program data and communicate data evaluation findings to leadership and staff on a regular basis or as requested.
  • Assist with developing and implementing feedback processes that will ensure increased responsiveness from survivors about individual programs and services accessed.
  • Conduct regular technology infrastructure assessments as assigned, in order to inform agency administration about how we can improve our remote work practices and better ensure digital accessibility of services for survivors.
  • Continue to increase and expand accessibility to services and the agency in general, for all populations served, by updating the agency website to include the following: Edits to content that reflect the diversity of groups served, and how services will meet their needs; also how individuals can contact the agency in a confidential manner to discuss or share areas where their identity is not represented but could be; Confidential and secure participant and community member feedback portal, internal as well as external forms will be built into the agency website and Facebook or other social media pages; Confidential and secure communication platform via the Hope Shores Alliance website so that survivors can access to communicate in real-time with an advocate or counselor for supportive listening, safety planning and crisis support; General website updates to correct errors or to reflect current contact or other agency info.
  • Chair or Co-Chair of the Health and Safety Committee in efforts to: Identify areas of risk within current agency practices and mitigating risk by adapting procedures to be responsive
  • Increase integrity of documentation, by building in processes to ensure personally identifying information is protected, time limited, and that confidentiality is ensured in all areas of data collection and services administration.
  • Provide daily assistance to the Support Services Coordinator and Finance Director job functions as required.
  • Perform general office coverage and clerical duties including answering incoming calls and greeting guests as required.
  • In compliance with the state and federal confidentiality legal guidelines maintain the strictest level of information confidentiality.
  • Attend all required training activities in compliance with agency, funding/accreditation source requirements.
  • Perform additional duties and Special Projects as requested by administration.

QUALIFICATIONS:

  • While survivorship is not a requirement for employment with Hope Shores Alliance, we value the contributions survivors make in doing this work and we celebrate our shared collaboration in the movement.
  • The highest level of both personal and professional integrity and the courage to both lead and communicate through encouragement rather than authority.
  • Associates Degree preferred as well as relevant leadership experience and practical knowledge from a direct services environment. Will consider applicants with high school diploma or equivalent.
  • Must successfully complete intra-agency domestic violence and sexual assault training within the initial 30 days of employment.
  • Attend and successfully complete MCEDSV New Service Provider Training within the initial 180 days of employment.
  • Must successfully complete all other job-related required training within 180 days of employment.
  • Must possess or attain Red Cross First Aid and CPR certification within the first 180 days of employment as provided by Hope Shores Alliance.
  • Must possess excellent communication skills and be comfortable engaging in challenging conversations and comfortable engaging with diverse audiences and stakeholders.
  • Must possess a valid driver’s license and good driving record as well as provide proof of valid insurance.
  • Must pass Criminal History, Child Abuse and Neglect Central Registry and State and National Sex Offender background checks.
