Description

  •  Nightly Entertainment invoices
  1.  This includes organizing all invoices, making corrections when necessary, inputting into Acumatica, completing the receipts, logging and mailing checks
  • Additional purchase orders
  1.  For any invoices that come into the department such as third party invoices
  2. Order necessary supplies for the department and maintain inventory stock
  3.  Print and deliver credentials for all concerts to properties
  • Day of Shows
  1. Prepare supplies for all stages
  2. Set stage area and greenroom for artist arrivals
  3. Cooler and drinks for staffng at stages
  4. Cover barricades
  5. Set up merchandise area
  6. Delivery of all meals to stage crews
  7. Assist with M&G when necessary
  8.  Strike and break down of stage and greenroom from show
  • Filming
  1. Manage all filming requests and correspondence
  2.  Communicate pricing, application, and insurance requirements.
  3. Verify with the City to make sure film group is applying for the city permit  Create a quote based off application
  4. Send all proper forms for quote, credit card form, and location agreement
  5. Request security, maintenance, Slotzilla, when needed
  6. Send out approved film permit and notify security and hotel properties of all upcoming filmings
  7. Attend actual film shoots when needed
  8. Set and execute all site visits with film location managers when requested
  • Viva Vision Requests
  1. Handle all custom messaging requests
  2. Work with graphics and show control receive the content and correct information of time, date, etc. 
  • Private Event Requests
  1. Receive and respond to all requests for quotes, site visits, general information regarding doing business with FSE
  2. Attend site visits
  3. Provide proposal quotes
  • New Year's Eve
  1. Assist Director of Special Events 
  2.  Manage all gate duties 
  3. Miscellaneous duties as requested 
  •  Miscellaneous
  1.  Wash towels
  2.  Organize supplies
  3. Get ice and supplies as needed Take inventory
  4. Keep golf cart clean
  • Additional Company Duties 
  1. Safety Committee meeting
  2. Employee Engagement meeting
  3. Assist with all company events
  4.  Order and Set up Holiday food rooms for Thanksgiving & Christmas
  5.  Newsletter & Additional Postings

Requirements

  

  • At least 3 years experience in similar role.
  • Prefer Bachelor's degree in related discipline
  • Organizing, including the ability to manage multiple projects in fast paced environment and tasks simultaneously.
  • Highly organized, able to wear multiple hats, and accomplish a multitude of tasks in fast-moving environment with a self-motivated drive to accomplish goals.
  • Excellent communication skills (written and verbal).
  • Must be a team player with demonstrated team experience (proven) Exceptional customer service focus (proven).
  • Ability to maintain/manage confidential information.
  • Strong interpersonal skills and ability to professionally interact with managers, and staff at all levels of the organization with diplomacy and professionalism.
  • Self-motivated, proactive, committed to continuous improvement.
  • Strong analytical skills.

  

Physical, Mental and Environmental Demands

  • Assigned duties are accomplished primarily in an office setting. 
  • Must be able to maneuver around the office setting, work at a desk/workstation.
  • Must have the manual dexterity to operate a computer and other necessary office equipment. 
  • May be required to lift up to 25 lbs.
  • Ability to work varied shifts and holidays as required.
  • Ability to work in the heat and cold weather.
  • Must be able to endure moderate noise levels in work area.

 

All candidates are required to pass a pre-employment drug test and background investigation.
