JOB OVERVIEW
This position is responsible for managing all aspects of Special Education projects all Fairwold and Mill Creek programs and providing direct administrative support to school leadership. This position assists with records, reports, and the day-to-day logistics of school operations regarding Special Education functions in the school. This position also is a communication liaison for Special Education services. The Special Education Assistant reports directly to the Director of Special
Education.
- RESPONSIBILITIES
- Provides direct support to school leadership and management of all Special Education logistics
for all programs on the Fairwold and Mill Creek Schools. - Manages all Special Education data systems and trains staff about their jobs.
- Provides administrative and technical support to administrative leadership regarding student
Special Education services, compliance requirements, procedures, and initiatives. - Coordinates all billable Special Education services with PHMC finance.
- Coordinates all Special Education meetings among Fairwold staff, districts, and parents.
- Assists with transportation issues, as a related Special Education service.
- Assists with coordination of all Extended School Year (ESY) services and program activities.
- Manages all serious incident reports to the appropriate agencies.
- Assists with annual, quarterly, and weekly reports as directed.
- Provides customer service to inquiries about Fairwold and Mill Creek programs and special
education services.
Skills:
- Demonstrated knowledge of the Individuals with Disabilities Education Act (IDEA),
educational disabilities, and Special Education programs as outlined in IDEA. - Demonstrated knowledge of Special Education programs and regulations.

- Demonstrated knowledge of business English, including spelling, punctuation, and

PERFORMANCE REQUIREMENT:
- Represents Fairwold Academy and The Mill Creek School as a welcoming and premier
educational environment to a diverse audience, including parents, clients, community, and
other stakeholders, and participates in Special Education events as requested. - Manages all aspects of Special Education services meetings for all Fairwold and Mill Creek
programs, including, but not limited to, 30-day IEP meetings, Individual Education Plan
(IEP) meetings, Physical Intervention (PI) and manifestation determination meetings, and
other activities as requested. - Audits Special Education transition requirements as mandated under IDEA (2004).
Maintains confidentiality with a wide variety of sensitive information, including, but not
limited to, manual and electronic files, documents, and records, meeting notes, medical
histories, and other identifying information. - Maintains accurate information for Special Education timelines; assists professionals with
logistical and administrative support; communicates deadlines and procedural timeline
recommendations to leadership. - Assists with the collection, compilation, and production of all Special Education metrics
requested by school leadership. - Assists with the collection, compilation, and accuracy of all billable related services;
including, but not limited to, occupational therapy, physical therapy, speech and language
therapy, BCBA services, RBT services, psychological services, and personal care
assistants. Prepares payable services reports to fiscal office. - Assists with logistics for Extended School Year programs and schedules as requested.
- Manages all logistics of special project requests by the Director of Special Education and
Executive Director in relation to Special Education services and provides administrative
support. - Provides training and technical support to all Fairwold and Mill Creek staff in the user
functions of Special Education software programs in relation to core functions of their
positions. - Manages RISC reporting and information to referring districts and schools, and the State.
- Reports all serious incidents to PHMC and other appropriate agencies.
- Provides technical support to educational services staff, external agencies, and parents.
EDUCATION AND EXPERIENCE:
- Bachelor’s degree in human or social services, Special Education, or related field.
- Three years of professional experience required, with emphasis on communication, Special Education, compliance, and/or customer service. Experience working with families from broad and diverse backgrounds and students with special needs, mental health, emotional and behavioral challenges, Autism, and Intellectual disabilities preferred.
