TITLE:Software Systems Adminstartor
POSITION NO.: P00179
SECTION: Administrative Services/Facilities & Maintenance/Physical Plant
HIRING SALARY: Anticipated salary $50,000.00 - $53,000.00
HOURS: 6:00 AM - 3: 00 PM; Mon - Fri

MAJOR FUNCTION: Administrate, manage and maintain the AiM's (CMMS) system. This position will require frequent collaboration with departments and contractors using the system. Assist in training all AiM users, develop new procedures as the system evolves and enter in new buildings, equipment, systems, assets, etc.. Utilizing the input to the AiM system to assign TCC employees work orders for the repair, inspection and maintenance of College Buildings, equipment, vehicles, and the HVAC/BAS, electrical, plumbing, electronics and carpentry. Develop reporting systems to demonstrate improvements and/or declines in all areas. Supervise department Supervisors and Superintendents as needed to ensure work orders are being completed within the required periodicities. Create training documents and perform in-person training as needed. Establish a good working relationship with the software vendor to discuss software problems or needed enhancements.
  • Administrated, managed and maintains the AIM's (CMMS) system and to initiate work orders for the employees. This position will require frequent collaboration with departments and contractors using the system. Key facets of this position are; Ensuring data within the system remain up to date. Facilitates workflows within the system. Provides training for new and existing users. Oversees the equipment / asset (equipment, parts, buildings, tasks, personnel, procedures, measurement data templates, etc.) enrollment process into the system. Schedules and assign Preventative and Corrective Maintenance, supervises department Superintendents, Supervisors and employees as needed to ensure timely and proper completion.
  • Continuously interacts with system users, managers, and Administrators to analyze, resolve and communicate solutions to system users. Develops reports as requested by the directors, managers, and supervisors.
  • Supervises and trains employees to Create Preventative Maintenance templates and schedules, ranging from periodicities daily to three-year cycles. Develops program to automatically schedule PM's based on completion dates, hour meters or Life Expectancies. Supervise & Train Faculty and Staff on the AiM's (CMMS) system and procedures.
  • Utilizes input from the AiM system, schedule and assign work orders to TCC employees. Supervises and verifies that employees are correctly filling out the work orders and supplying accurate data. Travels to all campus locations in the tri-county area.

MINIMUM TRAINING AND EXPERIENCE: A bachelor's degree with a major in computer science, information technology or related area and three years in the information technology field. Experience may substitute on a year for year basis of the required education. Candidates must posses a valid driver's license.
KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of construction related computer software. Knowledge of end-to-end project management and preparation of change orders and modification of drawings. Knowledge of control and phasing of construction activities to avoid impact on College classroom activities. Knowledge of the use of punch lists and final records retention methods. Knowledge of technical application of Florida Administrative Code and/or Department of Education Office of Educational Facilities regulations and guidelines. Knowledge of spreadsheets and scheduling programs. Knowledge of TCC maintenance, operation and safety procedures. Knowledge of Organization and department; basic record keeping. Knowledge of Maintenance, operation & operating procedures for all facilities. equipment on campus. Knowledge of Microsoft office software and specific computer programs related to area of responsibility. Knowledge of Procedures necessary to issue supplies for department and keep accurate inventory records. Knowledge of steps necessary to process work orders to completion. Supervisory skills and be able to direct and secure the cooperation of the staff and construction crews. Excellent organizational and communication skills (both verbal and written). Strong written and verbal skills, and the ability to work and communicate effectively in a high volume environment. Work safely and proficiently in the areas of electrical, plumbing, carpentry, HVAC, and electronics. Follow written and oral instructions. Work independently and make independent judgments. Walk, bend, stoop, climb ladders, stand for long periods of time, work outdoors in all types of weather and temperatures. Lift and carry 75 pounds or more. Work at heights above 40 feet; to drive, maintain, and repair vehicles, tractors, trucks, and equipment. Use a two-way communication radio. Serve in an on-call status on a rotating basis as needed.
