Ke Alii Ocean Villas is the premier residential condominium complex in South Kihei. The low-density, 16-acre property only contains 144 units, with most built after 2005. No short-term rentals are allowed, making this luxury property a truly unique working environment.

JOB DESCRIPTION

Oversee daily operations, maintenance, and staff. Manage and perform building and grounds maintenance, repairs, and improvement projects to maintain the property to the highest standards. Prioritize owner services. Enforce bylaws and house rules, support and administer board directions, foster a friendly, safe, and congenial atmosphere.

  1. Property Maintenance
    1. Identify, manage, and perform the following property maintenance tasks/activities.
      1. Routine maintenance according to maintenance schedules. Ensure the cleanliness and up-keep of the property.
      2. In-house special projects (on-site repair, maintenance and improvement projects that can be completed without the need for the AOAO to incur the additional costs of hiring third party contractors).
      3. Troubleshoot equipment failures, solicit bids for repairs, and upgrades.
      4. Identify visible deficiencies. Make necessary repairs, or if unable to, secure a contractor.
    2. Manage KAOV contractors to ensure service contracts are adhered to and completed on time. Monitor daily activities of landscaping crew and track progress on priority issues and landscape projects.
    3. Adhere to policies including but not limited to Site Manager Operating, Debit Card Usage, Water Leak Procedure and Spending.
  2. Owner Services, Engagement and Rules Enforcement

a. Support and manage owner services including, but not limited to, Architectural Standards & Procedures, maintenance, and landscape requests.

b. Respond to all owner requests in a timely manner. Complete small requests within 48 hours; larger requests within 7 days.

    1. Act as a liaison between residents and the board.
      1. Support board decisions when talking with residents.
      2. Ensure owner concerns and requests communicated to the board.
    2. Enforce house rules and policies; inform residents of violations and issue written violation notices.
  1. Board of Directors Interactions
    1. Communicate, support and work effectively with the Board of Directors, Committees, and KAOV’s property management company.
    2. Work with the board to establish priorities.
  2. Budget and Resource Management
    1. Assist in the preparation of operating budget and reserve schedule.
    2. Manage operating and reserve expenses to ensure expenses are within the board-approved budget; alert the board of any budget deviations.
    3. Procure supplies and equipment needed for daily operations and special projects, considering both cost and quality.
  3. Reporting
    1. Submit a monthly Site Manager’s report of all matters (resolved or unresolved) that are important in determining plans, revised House Rules, improvement projects, maintenance considerations or resident complaints and concerns.
    2. Submit a Site Manager’s report for board meetings that highlights completed and planned work.
  4. Security and Emergency Preparedness
    1. Monitor security systems, respond and report security-related incidents promptly.
    2. Ensure KAOV is prepared for emergency situations.
    3. Respond to emergencies 24/7 to safeguard owners and KAOV property.
  5. Office and Staff Management
    1. Manage and perform office operation activities including processing invoices, maintaining resident information securely, and ensuring timely submission of all reports and forms.
    2. Provide work assignments, supervise, and monitor personnel performance.
    3. Provide ongoing training in work performance techniques and safety awareness.
    4. Manage personnel actions from hiring to performance evaluations, processing payroll time sheets, employee bonuses, and personnel action forms.
  1. Education and Experience Requirements
    1. Maintain management, budgeting, computer skills, and building construction methods, tools and techniques through ongoing training and professional development.
    2. Liaise with other Site Managers regarding property management methods and techniques.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); Minimum 2 years related experience in managing condominium associations. Work-related or educational references required.

LANGUAGE & COMMUNICATION SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals; write routine reports and correspondence; clearly communicate and present ideas, information, and knowledge verbally and in writing for monthly reporting and for day-to-day communication.

INTERPERSONAL SKILLS

Interacts well with a range of individuals including owners, Board of Directors, contractors, Management Executive, staff, and others ensuring that interactions are handled in a friendly, professional, respectful, and productive manner. Demonstrates high integrity and ability to maintain confidentiality on Board of Directors and owner matters.

COMPUTER SKILLS

Must be proficient in the use of a computer, Microsoft Word and Excel, email, and the internet.

REASONING ABILITY

Ability to solve problems and apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

ORGANIZATIONAL SKILLS

Ability to stay organized while handling multiple accountabilities, ongoing projects, and special requirements of the job. Demonstrates urgency with getting things done and keeping projects on track.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is frequently required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; talk or hear; and taste or smell. The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 50 pounds, climb a ladder. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, and depth perception.

WORK ENVIRONMENT

While performing the duties of this job, the Site Manager will occasionally be exposed to outside weather conditions. The noise level in the work environment is usually moderate. The Site Manager is required to be available for emergencies and handling urgent matters 24/7.

This is a 100% non-smoking property.

Job Type: Full-time

Salary ranges from $75,000 to $90,00 based on qualifications and experience. Generous benefits package. Drug testing, background check and proof of vaccination required.
