Job description

Ibotta is seeking a Senior Payroll Administrator to join our innovative team and contribute to our mission to Make Every Purchase Rewarding.
The Senior Payroll Administrator is the lead payroll subject-matter-expert in the company and acts as the functional manager of the company payroll. Reporting to the Sr. Manager, People Operations, this role is accountable for all aspects of the payroll process and plays a critical role in processing and administering payroll in Workday. The ideal candidate has independently run all things payroll at a fast-growing, dynamic company.
This position is located in Denver, Colorado as a hybrid position requiring 3 days in office (Tuesday, Wednesday, and Thursday). Candidates must live in the United States.
What you will be doing:
  • Lead multi-state payroll processing for all employees (exempt & non-exempt) on a bi-weekly basis; including garnishments, flexible time off (FTO), bonuses, benefits, 401K deductions, and the reconciliation of time entry related payroll
  • Assure payroll information is accurate through review, audit, and completion of all payroll reconciliations on a bi-weekly basis
  • Leverage Workday Payroll reporting to perform comprehensive payroll audits to ensure accurate processing
  • Ensure the processing of new hires, promotions, and terminations in an accurate and timely manner
  • Assist with the technical set-up and accurate maintenance of Workday Payroll, including earning and deduction code setup, successful integrations, benefits, wages and FTO plans
  • Own the registration process for new state tax compliance
  • Reconcile and resolve tax notices
  • Facilitate a strong working relationship with ADP (transitioning to OneSource Virtual mid year) to ensure scope of services is being upheld with regard to compliance and reporting of local, state and federal requirements
  • Work closely with accounting to ensure the accurate and timely posting of journal entries from the payroll system
  • Assist accounting with month-end close reconciliations and fluctuation analysis related to salary accounts
  • Partner with Finance to provide estimated payroll funding and/or other payroll/finance reporting requirements
  • Critically review and analyze current payroll, benefits, and tax procedures in order to recommend and implement changes leading to best-practice operations
  • Provide continuous process improvement to the payroll cycle to allow for efficient processingLeads special projects, as needed, and stay abreast of industry trends
  • Perform administrative tasks and enhancements for Ibotta’s equity program
  • Act as a mentor to other people operations team members in their area of expertise

Job Requirements:
  • 3-5+ years of payroll experience required; with at least 3 years experience as an in-house payroll processor
  • Day-to-day, operational experience with Workday Payroll required; any legacy payroll systems preferred but not required
  • CPP preferred
  • Interest in cutting-edge, continually evolving technology systems designed to improve administration, accuracy and timely business processing
  • Demonstrated ability to multitask, be a self-starter, detail oriented, and provide excellent customer service
  • Excellent problem-solving skills with demonstrated ability to troubleshoot, investigate, and identify Workday Payroll and integration system issues to resolution
  • Interpersonal skills and experience working in a dynamic, collaborative team environment
  • Proficient in Microsoft Excel, including report writing skills and Workday reports
  • Able to organize and write policies and procedures in a logical/methodical manner
  • Strategic thinker for a growing organization
  • Ability to maintain confidential and sensitive information
  • Experience in benefit administration or other HRIS administration is a plus
  • Experience with employee stock programs is a plus

  • Base compensation range: $87,000-$100,000. Equity is included in overall compensation package. This compensation range is specific to the United States labor market and may be adjusted based on actual experience.
