Senior Loan Servicing Specialist
Department: Loan Operations Department
Reports: FVP, Director of Loan Operations
Position Summary:
The Senior Loan Servicing Specialist is responsible for all aspects of the commercial, consumer and residential loan portfolios. This position performs a variety of loan related activities to support and service more complex and intricate commercial, consumer and residential loans. These loans include but are not limited to, SWAPS, micro-loans, syndication/participation, and real estate. Functions include thorough understanding of loan documents, system functionality and activities involving loan boarding, transaction and maintenance processing and quality control of same. Interacts with internal and external clients, handling the more challenging customer inquiries and requests. The Senior Loan Servicing Specialist works with a minimal amount of supervision and direction and is authorized to take reasonable actions necessary to carry out the assigned responsibilities of this positions, provided that such action is assigned and is consistent with established procedures of Carver Federal Savings Bank. Performs all duties in accordance with the company's policies and all federal laws and regulations, wherein the company operates.
Essential Duties and Responsibilities:
  • Ensures assigned loans are boarded to the loan system of record with a high level of accuracy within department service level agreements (SLA's).
  • Processes multifaceted loan transactions involving payments, advances, incoming and outgoing wires, payoffs, and insurance claims.
  • Supports monthly SBA servicing and reporting, SWAP transactions, trade services and participation/syndication processes. Participates in servicing and settlement processes involving all types of loan purchase and sales.
  • Processes special assets, such as non-accrual and delinquent loans. Responsible for accurate process of charge-offs and risk rating changes.
  • Responsible for balancing and reconciling Loan Servicing general ledger and custodial accounts and researches out of balance conditions.
  • Frequently interacts with business units in handling more complex requests involving borrower accounts while maintaining a high degree of courtesy and professionalism; provides assistance to other team members on escalated requests.
  • Thoroughly comprehends tax, insurance and escrow related activities and supports these processes in conjunction with Carver Federal Savings Bank's associated vendors.
  • Provides oversight of various monthly data reports and completes quality assurance validations of all types of servicing tasks to ensure loan information and financial reporting is accurate. Monitors status and reports results of Loan Servicing as assigned.
  • Continually provides and receives cross-training in multiple functional areas within the department in order to provide support as needed in a dynamic, energetic and demanding environment.
  • Develop and maintains clear, well written work process procedures and documentation for cross-training and auditing purposes. Assists in the implantation of training of servicing related activities for new products and processes. Provides guidance to junior staff in multiple functional areas within the department. Collects and processes incoming mail and faxes in accordance with internal controls and procedures.
  • Follows policies and procedures; completes tasks correctly and on time; supports the company's goals and values.
  • Works with the appropriate departments to facilitate a smooth and timely response to all audit requests.
  • Responsible for all areas within Loan Servicing which includes, but not limited to, loan boarding and advances, reconciliation, billing, escrows and impounds, SBA reporting, loan documentation review and release, tickler reports, insurance, and property tax tracking, UCC filing, and other maintenance as required.
  • Responsible for providing regular guidance, training, feedback, and support to Loan Servicing staff.
  • Responsible for the servicing of all loans including syndicated, participated and conventionally originated loans.
  • Review booked loans for accuracy and assist with the internal/external audit requests.
  • Monitor department to ensure deliverables meet SLAs; preventing workflow backlogs and ensuring all procedures are adhered to.
  • Responsible for the daily review and sign-off of core reports required to monitor for potential issue resolution, clearing of non-posts, review of new loans, file maintenance, payments made the prior day, paid off loan and other servicing reports.
  • Works closely with staff, lenders, branches, and clients to deliver a best in class internal and external service experience.
  • Participates in developing Loan Servicing policies and procedures. Ensures that all servicing activities comply with regulatory standards, bank policies and secondary market servicing requirements.
  • Works collaboratively with the FVP, Director of Loan Operations and AVP Loan Operations to ensure new loans are transitioned from Loan Origination to Loan Servicing.
  • Monitors E-Oscar reports online.
  • Monitor & maintain negative escrow accounts and disbursing escrow funds.
  • Ensure compliance with Bank Secrecy Act, AML, OFAC and USA PATRIOT Act.
  • Assists with training new staff.
  • Other duties as assigned.

Background and Experience:
  • Four-year college degree or commensurate experience.
  • Knowledge of Loan Servicing systems, FNMA guidelines, FHLB guidelines, credit and support, and accounting principles and practices.
  • Knowledge of Jack Henry platforms preferred.
  • Knowledge of federal and regulatory compliance.
  • Ability to resolve external and internal customer service requirements.
  • Excellent organizational and administrative skills, including juggling competing tasks and delegating assignments based on department priorities.
  • Excellent verbal and written communication skills.
  • Proficient PC skills: MS Office products, Excel and front-end software systems.
  • Experience in managing third party vendors for taxes, insurance, and receivable processing.
