Job description

JOB SUMMARY:

Under general supervision, performs skilled library duties at the paraprofessional level requiring an understanding of library-wide practices and procedures. May have specialized knowledge of a specific library functional area. Accesses, edits and/or inputs data to various automated library databases for the purpose of processing, retrieving and/or maintaining information within a specific functional area (e.g., acquisitions, circulation, cataloging or reference). May train and direct the work of lower-level Library Assistants and/or student employees, and manage the operations of a small unit or after hours operations by overseeing daily operations and updating and maintaining facilities and equipment. May be responsible for opening and closing facility. Report facility or safety issues to higher-level assistants or supervisor.

EDUCATION/EXPERIENCE: High school graduate with 3 years of library experience in a facility with an automated library system required. Bachelor’s degree preferred.

ESSENTIAL FUNCTIONS:

  • Assume charge of the Information Desk at the Carpenter Library and the Wake Bar at the Student Resource Center. Responsible for opening and/or closing of the Carpenter Library and the Student Resource Center.
    • Maintain and update the policies for Specified Areas, such as Interlibrary Loan (ILL), in providing services to patrons using current industry standards: Copyright compliance, Best Practices, OCLC and PubMed standards. Ensure that the materials delivered to patrons are provided per copyright guidelines.
  • Responsible for securing staff coverage of the Carpenter Library and the Student Resource Center when using BTO. Occasionally assist with finding staff coverage when other staff members will be using BTO. Assist with training new employees.
    • Ensure that the ILL requests are always covered by one of the staff assigned to complete ILL duties. Ensure all requests are completed in a timely, accurate and thorough manner.
  • Assist patrons with locating and accessing print books, e-books, print journals, e-journals, and journal articles using all available library resources such as Primo, PubMed, Web of Science, Embase, Scopus, OVID, Library Knowledge Guides, etc.
    • Continuously work with patrons in providing guidance for using library services.
  • Assist patrons by answering reference questions and forwarding reference requests to the appropriate reference librarian, if needed. Assist patrons with using various library databases and resources including general use of public computers located at the Carpenter Library and the Student Resource Center.
    • Work with the cataloging, acquisitions, and department librarians to ensure that the ILL department uses accurate databases. In addition, maintain accuracy of specialty databases used by the ILL department (Docline), and where questions cannot be answered, forward to a librarian.
  • Monitor chat service and dashboard in LibAnswers including answering inquiries and assigning appropriate staff member for follow-up when follow-up is needed. Locate, download, and attach articles when requested through LibChat.
    • Monitor all Document Delivery & ILL requests that are delivered via LibChat or are assigned to the ILL department by a librarian.
  • Scanning print materials used in the library and Student Resource Center for usage statistics and re-shelving those materials. Record gate count, reference questions, directional questions, and IT support/printing questions in online database for statistics.
    • Scan print materials as needed to satisfy ILL requests.
  • Verify patrons in the ALMA system when needed to permit them to borrow books, journals, and other library materials. Check items in and out using ALMA system. Re-shelve items.
    • Verify all new users to the ILL system by following the protocol as assigned by the Library Director and library standards. Verify all users’ loan requests as approved by policy for borrowing patrons.
  • Scan student badges into Pharos print system so students can print. Instruct patrons to assure they know how to use the Pharos print services by ensuring they know which printers to choose, how to use printer properties to choose one sided printing, three-hole punch, stapling, etc. when needed and how to release print jobs at the release stations using their medical center badges or guest cards, as appropriate.
    • N/A this function is only performed at the front desk
  • Troubleshoot Pharos issues to ensure patrons can print efficiently. Correct if possible. Report to Pharos development team when appropriate by submitting ticket to Academic Applications Analyst through Service Now when their assistance is needed to troubleshoot Pharos issue.
    • Work with IT department to ensure continuity of service for all aspects of service: ILL staff, users, and academic partners. Work with patrons in providing guidance for using library services.
  • Schedule library classrooms, small group instruction and study rooms for patrons.
  • Perform special projects to assist other areas in the library.
  • Perform other related duties incidental to the work described herein.

SKILLS & QUALIFICATIONS:

  • Excellent customer service skills
  • Excellent communication skills (both written and verbal)
  • Computer experience
    Knowledge of Microsoft Office software and programs
  • Ability to use the internet
  • Ability to use operate library equipment, such as copiers, laminators and printers
  • Ability to work independently and as a team
  • Ability to prioritize responsibilities
