Senior IT Epic Project Manager (must be local)

Position Summary

The Senior ITProject Manager provides support to the CIO by delivering master-level administrative, project, and IT management expertise. Lead and manage complex IT projects from initiation to completion which will enhance healthcare outcomes.

 

 

Required Qualifications

  • Bachelor’s or equivalent relevant combination of education and experience.
  • Project Management Professional (PMP) Certification.
  • Expertise in Epic Electronic Health Records (EHR) and SharePoint implementation.
  • Must have proven experience in handling diverse IT projects, ensuring their successful delivery within scope, time, and budget constraints.
  • Certification in agile, scrum, waterfall, lean, or other methodologies.
  • Minimum 5 years of experience in complex project management, preferably in healthcare and in an IT setting, including 2,000+ hours leading and managing projects with a focus on Epic EHR and SharePoint implementations
  • Epic EHR certification preferred.
  • Strong knowledge of healthcare industry standards, regulations, and best practices.
  • Excellent communication, leadership, and problem-solving skills.
  • Proven ability to manage cross-functional teams and deliver projects on time and within budget.
  • Proficiency in Smartsheet, Microsoft Project, or a similar system preferred.
  • Strong analytical, problem-solving, and analytical thinking skills.
  • Strong potential for self-direction/self-management skills with the ability to work independently.
  • Strong project reporting skills, with a focus on interdepartmental communication.
  • Professional level written, verbal and interpersonal communication skills.
  • Efficient time management skills, with the ability to meet deadlines and organizational needs.
  • Comfortable in a fast-paced environment with multiple tasks and projects.
  • May travel as needed.
  • Must have a valid driver’s license and insurable driving record.
  • Commitment and ability to abide by standards of professional ethics and maintain confidentiality.
  • Adherence to infection control procedures, including but not limited to, standard precautions of temperature monitoring, hand washing, symptom self-monitoring, masking and social distancing.
  • Assist and support the Center/Department/Program to meet standards of High Reliability.

 

Essential Responsibilities

  • Develop comprehensive project plans, outlining project tasks, timelines, and resource requirements.
  • Track the progress of projects and ensure all milestones and timelines are met, quickly identifying and escalating any risks to meeting these milestones and timelines.
  • Lead project teams in the successful implementation of Epic EHR, SharePoint, and other IT solutions, ensuring adherence to best practices and industry standards.
  • Assist in establishing and maintaining organizational project management methodology and procedures.
  • Consult with upper management to ensure the scope and direction of each project is on schedule, collaborating across the organization for support. Collaborate closely with internal teams and third-party vendors to gather project requirements and expectations.
  • Work closely with project champions and owners to achieve successful project execution and assist with resource management of cross-functional teams.
  • Partner with cross-functional teams, stakeholders, and clients to ensure seamless execution and delivery of high-quality IT solutions.
  • Lead scope and requirements gathering sessions for assigned projects.
  • Maintain strong relationships with stakeholders, ensuring clear communication and alignment of project goals.
  • Collaborate and negotiate with project stakeholders on project management strategy, timeframes, and specific outcomes to be achieved.
  • Identify relevant stakeholders and build communication strategies to ensure project deliverables are on time, within budget, and meet desired outcome metrics.
  • Demonstrate deep understanding and hands-on experience with Epic EHR and SharePoint platforms.
  • Provide coordination among multiple parties (vendors, OCHIN, members, and external partners) to bring alignment and shared understandings of project scope, timelines, milestones, and expectations.
  • Provide guidance and support to technical teams, addressing challenges and ensuring the successful integration and customization of EHR and SharePoint solutions.
  • Identify, escalate, and mitigate project risks and issues, communicate project status, and negotiate changes in project scope, resources, or timeline to ensure that the project stakeholders are satisfied with project results. Develop mitigation strategies to address risks and issues promptly.
  • Employ change management strategies and tactics.
  • Proactively monitor project progress, identifying and resolving deviations from the project plan.
  • Ensure the delivered solutions meet quality standards and stakeholder expectations.
  • Work closely with project stakeholders, and other stakeholders to ensure that projects and project tactics align with WellSpace Health’s strategic goals.
  • Conduct thorough testing and validation of Epic EHR and SharePoint configurations, resolving issues promptly to maintain project momentum.
  • Maintain detailed project documentation, including project plans, status reports, and meeting minutes.
  • Provide regular updates to stakeholders, summarizing project progress, challenges, and resolutions.
  • Develop, maintain, and revise all project materials.
  • Collaborate on process improvements within the team and participate in process improvement efforts.
  • Participate in organizational strategic planning and alignment with resulting goals and tactics.
  • Will manage the scope, plan, oversee, and document all aspects of multiple concurrent projects with varying degrees of complexity within the organization.

Physical Demands and Work Environment

The work environment is characteristic of a medical clinic environment. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is frequently required to sit; use hands and arms to reach. The employee is also required to stand; walk; and reach with hands and arms. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus. The employee must also possess hearing and speech to communicate in person and over the phone. The noise level in the work environment is usually quiet.

 

The employee may be in contact with individuals and families in crisis who may be ill, using substances, and/or not attentive to personal health and safety for themselves or their homes. The employee may experience a number of unpleasant sensory demands associated with the client’s use of alcohol and drugs, and the lack of personal care. The employee may also be exposed to bodily fluids (blood, urine) and hazardous chemicals.
