JOB SUMMARY:  
Provide administrative support to the Facility Services functions for the Financial Products Division (FPD).  Serve as Facilities Team Leader back up.
 
JOB DUTIES AND RESPONSIBILITIES:    

  • Processes merchandise and service receipts from various vendors for all FPD departments.  Verifies contents of shipment to packing list.  
  • Works with FPD departments to ensure proper purchase order procedures are followed.  Also provides guidance for and enforces the published guidelines. 
  • Receives merchandise and records using the applicable receiving software.  If shipment has any discrepancies against the information in the purchasing system, contacts purchaser to correct entry in the system before entering the receipt of shipment.
  • Reverses received merchandise entry in the system when instructed by the Purchasing Department.  Re-enters the received merchandise in the system once corrections are made.
  • Receives, stocks and distributes office supplies and mail to all departments of FPD.  
  • Utilizes the inventory control software to monitor supply inventory levels, requisition trends and identify peaks or shifting demands.  Calculates monthly expenses by department to ensure charges are applied accurately to each department.  Generates monthly usage reports of office supplies by department. 
  • Maintains proper function of the inventory control software, working with software vendor when adjustments and improvements are required.  Updates system with new inventory items, number changes, discontinued items, unit price changes and quantity changes.  
  • Packages materials for shipment for various airfreight carriers both domestic and international, posts mail and operates the postage equipment.  
  • Monitors and tracks airfreight usage, trends, and related expenses.  Responsible for reporting trends and excessive expenses.
  • Scans tracking number of incoming overnight/express packages.  Delivers package and obtains signature.  If overnight/express packages are reported missing, tracks packages through external vendor tracking systems and determines the receiver of package to resolve the missing package request.  Sets up new UPS accounts and resets passwords as needed.   
  • Orders nameplates, holders, and door signage upon request.  Ensures installation is complete.  Receives work invoices into the purchasing system.  Reconciles fees charged for contracted rates.  
  • Coordinates with Richards & Richards the destruction of paper.  Schedules requests for extra recycle bins and other pickups.  Tracks volume usage and monthly calculations to reflect volume trends.  Maintains supply of off-site storage boxes and labels.
  • Orders Caterpillar letterhead, envelopes, etc. on vendor website.  Verifies shipment when received and distributes to requestor.
  • Receives facility repair requests.  Notifies property management group via website by creating a ticket.  Informs requestor regarding the status of the request and completion of repair.
  • Evaluates requests from departments and ensures the most urgent business need is handled first, adjusts other tasks accordingly while attempting to satisfy a broad range of customers needs.  
  • Participates in accomplishment of continuous improvement objectives for the department.  Progress toward accomplishment of these is measured through maintenance of necessary measurements and analysis of associated data.  Participates in the identification of problem areas and development of resolutions to address them.
  • Understands the Harassment policy of the company and is responsible for its application in all aspects of employment.

JOB REQUIREMENTS:

  • Ability to continuously stoop and lift up to 50 pounds.
  • General knowledge of and the ability to use inventory control, receiving and accounting software.
  • Knowledge of and the ability to perform basic math calculations, which includes addition, subtraction, multiplication, division, percentages and ratios.
  • Basic knowledge of inventory control principles, policies and procedures.
  • Working knowledge of shipping and receiving regulations, policies and procedures.
  • Knowledge of and the ability to make minor office equipment repairs.
  • Must have a valid driver’s license.

 
EDUCATION/EXPERIENCE:  

  • A High School Diploma or equivalent GED certificate is required and a minimum of 2 years experience in office services, inventory control or receiving is recommended.
