Job description

Summary

Concord Hospital seeks an experienced and service oriented individual to lead the operations of the Office of the President & CEO. This individual will provide high level administrative support to the President & CEO and serve as a liaison to the Board of Trustees. He/she is also responsible for the oversight and coordination of the work performed by the Executive Assistants supporting the senior leadership team. This position will report directly to the President & Chief Executive Officer.

Concord Hospital (CH) is a nationally accredited not-for-profit health system providing comprehensive acute-care services, primary and specialty care to residents throughout central New Hampshire. The acquisition of Lakes Region General Hospital, Franklin Regional Hospital, and associated ambulatory sites in 2021 enhanced CH's footprint across New Hampshire into the Lakes and Three Rivers Region. Now, a health system of three hospitals and multiple ambulatory sites, CH manages 457 licensed beds across the state and has over 4,500 employees.

Education

Associate's Degree is required. Bachelor's Degree is preferred.

Certification, Registration, and Licensure

None Required

Experience
  • Candidate must have a minimum of five years executive administrative experience including supporting a C-level Executive.
  • Experience supporting and serving as a liaison to a board of trustees is strongly preferred.
  • Prior administrative experience in a healthcare environment is preferred.


Abilities and Additional Skills
  • Strong project management skills to schedule, coordinate and prepare for board and committee meetings. This includes the collaborative planning of meeting agendas and the development of meeting materials.
  • Must be able to record and prepare minutes of board and committee meetings, including the compositions of minutes, tracking of required approvals and other follow-up as necessary.
  • Ability to independently compose correspondence and edit documents.
  • Exceptional organizational skills: must be highly organized with the ability to multi-task and meet deadlines. Must be able to adapt to changing priorities.
  • Must have a high degree of accuracy and attention to detail in all aspects of the role.
  • Must have strong independent decision-making skills and the ability to consistently exercise discretion and good judgement.
  • Must be customer service oriented and have a very professional presence and demeanor. Must be able to remain calm and professional when under pressure.
  • Extensive experience partnering with other professionals and a record of building and maintaining trusting and collaborative relationships.
  • Must be able to foster open communication and be open and receptive to the ideas and suggestions of others.
  • Proficient in the use of the latest technology including web conferencing, online meeting, messaging and email and Microsoft 365 (Office).

Responsibilities

The primary responsibilities for this position include but are not limited to the following:
  • Proactively supports the President & CEO with administrative duties and helps manage the President's day-to-day schedule and activities.
  • Work in partnership with the President & CEO to ensure effective management and support for the Office of the President. This includes managing relationships with board members, health system leaders, providers, community leaders and other stakeholders.
  • Assists in composing, editing and distributing communications on behalf of the President & CEO. This includes producing agendas, reports and presentations.
  • Serves as a liaison to the health system and parent corporation boards of trustees, board committees and subsidiary corporations and is responsible for administrative aspects including planning meetings, coordinating board activities, board reporting, minutes and board correspondence and documentation.
  • Oversight and coordination of the work performed by the other Executive Assistants. This includes managing workflow and ensuring that the skills, experience and capacity of the team are being fully leveraged and utilized. The Senior Executive Assistant will be expected to ensure that the team is completing work in a timely and efficient manner and that technology is being optimized. He/she will assess the training, education and competency needs of the team and recommend and implement programs as necessary.
  • Undertakes other duties as assigned by the President & CEO.
