Purpose of the Role
The Senior Associate of the Master Schedule for the Obama Presidential Center (OPC) will oversee the management and integrity of space utilization across the campus, supporting the Revenue and Programming Teams in delivering streamlined and mission-oriented service to visitors. This position will collaborate daily with multiple departments, coordinating logistics to ensure operations, policy and procedures compliance and revenue optimization for the team.
As the Senior Associate, Master Scheduler, you will be reporting directly to the Senior Manager of Contract Revenue.
Core Job Responsibilities
- Develop and implement a campus-wide scheduling system to book space for events, tours, field trips, and onsite programming.
- Manage and maintain reservation systems for campus-wide processes, communicating with external stakeholders as needed.
- Manage utilization of space and be involved with strategy of use to ensure revenue generation, programming, and internal event needs are met.
- Balance priorities across a wide range of stakeholders to engage a diverse audience while fulfilling contractual commitments.
- Oversee and conduct weekly Banquet Event Order (BEO) meetings: ensure all BEO's are published, confirm no duplicate room use occurs or lack of room reservations occur.
- Collaborate with various OPC teams including Operations, Security , Visitor Experience, Programming, and other Museum services.
- Perform other duties as assigned.
Key Deliverables / Outcomes
- Implement and manage scheduling software to account for space use across the campus including but not limited to the Museum, Forum public spaces, restaurant and cafe, library, Athletic Center, garden and classroom, and green spaces.
- Build and maintain a working knowledge of OPC programming, exhibits, and events to understand team priorities and proactively forecast utilization strategies. Work directly with various teams to proactively reconcile schedule conflicts or anticipated barriers to service delivery.
- Manage the development of long-term schedules in addition to day-to-day operations, creating a framework to address both "big picture" and nuanced priorities.
- Cater to both large and small scale engagements, monitoring the schedule to ensure accessibility for groups of all sizes.
Required Qualifications
- Experience managing multiple priorities and project timelines effectively, with the ability to creatively maximize team assets .
- Exceptional communication and interpersonal skills.
- Strong problem solving skills while working in a fast paced environment.
- Proficient in utilizing technological solutions such as Google Sheets, Excel, and tracking mechanisms for scheduling frameworks and creating presentations.
The salary range for this role is between $67,165 and $83,980.
