Overview
The Detection Physics Group within the National Security Directorate seeks a driven, energetic, and experienced professional administrator to join our team; specifically, this position will provide Senior Administrative support to the Ultra-Sensitive Nuclear Measurements Program. The Ultra-Sensitive Nuclear Measurements Program (USNMP) guides the lifecycle of Pacific Northwest National Laboratory (PNNL) research and operations in ultra-pure materials for radiation detection. By developing detection systems and analytical techniques to make ultra-sensitive measurements, USNMP addresses challenges across National Security, Environmental Science, and Fundamental Physics. The individual should demonstrate a strong sense of service and teamwork, as well as dependability and trust, as part of PNNL's commitment to both scientific excellence and national impact on critical scientific and technical problems.

Responsibilities
Performs administrative and office support activities. Duties may include managing schedules, emails, and travel, fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. This position will provide administrative assistance to the USNMP Leadership Team. Key responsibilities and attributes are as follows:
  • Acting as the point of contact among USNMP Managers and staff, employees, sponsors, stakeholders, and other external partners to ensure responsiveness and "switchboard" issues as appropriate.
  • Provide direct assistance to the USNMP Managers and senior staff including & Calendar Management: Act as an all-around gatekeeper and strategically manage the program manager and senior staff's time with respect to priorities, goals, and objectives.
  • Email Management: Conserve program manager and senior staff time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
  • Planning & Executing Meetings: Setting virtual and in-person meetings for program manager and senior staff. For selected meetings this includes providing preparation materials and context ahead of meetings, gathering agenda items, and capturing action items.
  • Manage USNMP travel matters such as submitting travel requests, coordinating travel arrangements and completing expense reports.
  • Provide administrative support for visits, working closely with other members of the USNMP team to ensure that all details are addressed including but not limited to agendas, badge requests, security clearances, conference rooms and communications with visitors and participants.
  • Organize and attend meetings as appropriate, preparing agendas, coordinating and gathering information, ensuring completeness and accuracy. Ensure that assignments, follow up and accountabilities are met.
  • Create, track, and reconcile purchases in a timely manner. Purchases include office, and computer equipment and software and other materials necessary for USNMP.
  • Demonstrate a working knowledge of commonly used computer applications such as Microsoft Office Suite, internal software, and internal lab business systems.
  • Prioritize critical activities and maintain a high degree of responsiveness and flexibility in a constantly changing work environment, as well as anticipating needs on behalf of the USNMP Managers.
  • Maintain and refine internal processes that support USNMP Managers and senior staff, and coordinate internal and external resources to expedite workflows.
  • Guide the workflow of the Managers by prioritizing and engaging others, as necessary, to ensure task completion. This could include assigning work to additional administrative staff and following up on results.
  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.

Qualifications
Minimum Qualifications:
  • High school diploma/GED and 8 years of relevant experience in an administrative environment -OR-
  • AA degree or higher and 6 years of relevant experience in an administrative environment.
  • Experience in planning meetings and coordinating travel

Preferred Qualifications:
  • High degree or proficiency at managing the calendar and inboxes of other individuals.
  • Exquisite attention to detail when preparing agendas or other documents, taking notes and recording action items or proofreading or editing correspondences.
  • Extensive working knowledge of commonly used computer applications such as Microsoft Office Suite with expert skills in MS Outlook and proficiency in Word, PowerPoint, and Excel.
  • Exceptional interpersonal communication and customer service skills.
  • Experience being proactive and taking initiative in everyday work.
  • Experience working in a fast-paced environment with often changing and/or conflicting priorities.
  • Exceptional organizational skills.

Additional Information
This position requires the ability to obtain and maintain a federal security clearance.
Requirements:

* Background Investigation: Applicants selected will be subject to a federal background investigation and must meet eligibility requirements for access to classified matter in accordance 10 CFR 710, Appendix B.
*Drug Testing: All Security Clearance positions are Testing Designated Positions, which means that the candidate selected is subject to pre-employment and random drug testing. In addition, applicants must be able to demonstrate non-use of illegal drugs, including marijuana, for the 12 consecutive months preceding completion of the requisite Questionnaire for National Security Positions (QNSP).
Note: Applicants will be considered ineligible for security clearance processing by the U.S. Department of Energy until non-use of illegal drugs, including marijuana, for 12 months can be demonstrated.
Testing Designated Position
This position is a Testing Designated Position (TDP). The candidate selected for this position will be subject to pre-employment and random drug testing for illegal drugs, including marijuana, consistent with the Controlled Substances Act and the PNNL Workplace Substance Abuse Program.
