Position Summary & Responsibilities:

Location: KDA Headquarters – Riley County, Kansas.
Job Summary:
Coordinate file scanning processes and electronic document storage. Assist staff with document storage and retrieval. Review scanning work completed by others for consistency. Resolve concerns with scanning vendors and software managers. Look for opportunities to improve processes.
Create project files for incoming permit applications. Assist with file numbering and data entry. Send acknowledgement letters to applicants and designers and enter fee receipts. Coordinate workflow with Program Manager. Distribute incoming agency notices to reviewers and file as needed.
Complete the final processing (signature notary & approval stamps) of each permit and plans and assemble for mailing process. Prepare documents, including letters, permits, approvals, certificates, and agency forms. Ensure appropriate format for documents. Proofread documents produced by others. Complete data entry and electronic filing.
Answer main line phone calls and direct as needed. Handle all calls and contacts promptly and professionally. Gain familiarity with the diverse functions of the program. Provide general information regarding the regulatory process as appropriate. Determine whether the individual needs application forms or other materials available in this office.
Manage equipment storage and track locations of survey equipment, computer equipment, and vehicles. Schedule service for maintaining vehicles in good operating condition. Contact administrative officer as appropriate to resolve concerns. Performs other related duties as assigned. This may include special projects such as bulk mailings or conference preparation.
This position has the opportunity to telework per guidelines of the Telework Policy of the Kansas Department of Agriculture KDA after one year of service.
Minimum Qualifications:
- Three years of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.
- Good written and verbal communications skills required.
- Must be able to manage multiple tasks simultaneously.
- Employee must have a valid Class C (or higher) Kansas driver’s license or equivalent license from another state. Employee is responsible to maintain an acceptable driving record to safely drive state vehicle and be willing and able to fulfill all job-related travel normally associated with this position.
Preferred Qualifications (Not Required):
- Ability to analyze complex technical information from a variety of sources strongly preferred.
