Job Title
Senior Academic Records and Registration Business Analyst
Position Summary
Primary responsibility is shared between coordinating/producing regular statistical reports for distribution and coordinating graduation responsibilities, including auditing degree requirements and meeting individually with students daily. Reports are prepared and analyzed for University administrator use from registration and other relative system data. Additional time is spent programming degree audit for all majors, processing final graduation audits for students, assisting with evaluation and posting of transfer credit, and in performing regular testing in the student system each term to ensure functionality.
Essential Duties and Responsibilities
Develop and analyze statistical information for administrative use in formulating and interpreting policies and procedures. Distributed to Provost, deans, and departments/division chairs. Consult with other University officials advising them of registration trends.
Provide leadership, planning and technical expertise of Colleague-related services that support the departmental goals. Test all new student system computer enhancements and perform regular audits on standard processes to assess for errors.
Counsel students on acceptable transfer credit from external institutions prior to taking additional courses outside TWU. Includes meeting with students and determining acceptable course substitutions in selected cases.
Perform degree audits on all graduating students and meet with them for results and/or missing information. Determine alternative action for critical graduating student issues.
Coordinate, program and update student degree audit annually to comply with university policy and Academic Affairs decisions ensuring students, faculty and general public receive updated information.
Organize graduation-related services/activities by establishing/renewing contracts with vendors (photographer, diplomas, etc.), reporting and publicizing events to University students and employees; and, representing the student records office in graduation activities relative to other offices, bookstore, etc.
Compile and review graduation requirements for publication in official University brochures and catalogs and on the website.
Perform other duties as assigned by the University Registrar.
Education, Certifications and/or Licenses
Minimum of two years college-level required.
Bachelor's degree preferred.
Experience
Minimum of three years experience, preferably in higher education, strongly desired.
Knowledge, Skills & Abilities
Knowledge(position requirements at entry):
Knowledge of:
• Proficient with an integrated administrative system and current desktop software programs, including proficiency in the use of analytic and graphic tools, MS Excel & Access.
• Critical attention to detail and accuracy.
• Broad knowledge of PC hardware, software and peripherals.
• Demonstrated ability for data retrieval and report preparation.
• Knowledge of rules, standards, regulations, and laws regarding student records.
• Discretion in handling confidential matters, while complying with FERPA regulations.
• Ability to follow University and departmental procedures and policies.
• Ability to work independently with minimum supervision.
• Ability to work cooperatively with a diverse group of individuals.
• Ability to provide and demonstrate quality customer service.
• Ability to maintain a professional appearance and office atmosphere.
• Strong organizational skills with the ability to handle multiple tasks.
• Ability to make administrative/procedural decisions and judgments.

LANGUAGE SKILLS
• Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures or governmental regulations.
• Ability to write reports, business correspondence, and procedure manuals.
• Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
MATHEMATICAL SKILLS
• Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
• Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
• Ability to define problems, collect data, establish facts, and draw valid conclusions.
Ability to interpret an extensive variety of technical instructions in written or diagram form and deal with several abstract and concrete variables.
