Overview
Titan Security Group is recruiting for a Full-Time Corporate Operations Assistant, to work out of the downtown Chicago office.
The Corp Ops Assistant is responsible for providing crucial support to our Corporate Operations department, ensuring the smooth and efficient function of day-to-day activities. This role involves handling administrative tasks, coordinating various projects, and contributing to the overall effectiveness of our operations team. The ideal candidate needs to be comfortable in a fast-paced, growing environment. Superior communication and multi-tasking skills are strongly desired. A professional yet approachable personality, who can make sound decisions through training with limited supervision, will excel in our environment.
Corp Ops Assistant's responsibilities include, but are not limited to:
Responsibilities
  • Report all operational matters directly to the Corporate Operations Manager and members of senior management.
  • Ensure all required reporting and contractual compliance requirements are met.
  • Prepares the Operations team reports by collecting, analyzing and summarizing data and trends, reviewing and reporting any deficiencies To Corporate Operations Manager.
  • Support the Corporate Operations Manager in managing Titan Security Fleet. This includes scheduling and assisting with maintenance, monitoring fuel usage, monitoring vehicle GPS activity and reporting any deficiencies to the Corporate Operations Manager.
  • Support Corporate Operations Manager and Operations team in managing Titan's Company owned devices, run usage reports ensure all data is accurate and report any deficiencies to the Corporate Operations Manager.
  • Assist in managing calendars, scheduling client meetings, organizing project arrangements, and handling correspondence to projects to the end.
  • Support operational projects by coordinating tasks, tracking progress, and liaising with relevant stakeholders to ensure timely completion.
  • Schedule and maintain routes for Field Supervisor and Mobile patrol inspections and analyze data to ensure we are supporting all of Titan clients and customers.
  • Review Activity Reports, Tours, and Incident Reports from Guard Tour Systems (Trackforce, Guardmetrics) analyze the data and be able to present them to the Operations Team.
  • Oversee supplies, equipment, and facilities, ensuring they are well-maintained and addressing any operational issues as they arise.
  • Monitor operational usages- provide data on where we are providing Corp Ops Support.
  • Respond to security officer's call-offs, tardiness, and emergencies in order to maintain contractual obligations with all clients.
  • Identify areas for process enhancement and assist in implementing efficient workflows to streamline operations.
  • Build, improve, and maintain effective relationships with both clients and employees.
  • Coordinate necessary support services to effectively manage client sites to meet or exceed financial and operational goals and provide excellent customer service.
  • Handle all escalated security issues or emergency situations appropriately.
  • Provide the basis of great working environments by treating staff with respect.
  • Must be proficient in Excel, able to use formulas to organize, analyze and adjust data.
  • Understand the specific and general post instructions for all assigned posts. Maintain practical knowledge of all additional and emergency post instructions that are called for by our clients.
  • Provide excellent Customer Service to all parties encountered while on duty.
  • On occasion travel to other Titan Security Group Branches.
  • Other duties as assigned by the Corporate Operations Manager.

Qualifications
Education and/or Experience: High School diploma or general education degree (GED) and 2 years prior satisfactory employment as a security officer or in a customer service position. Experience in a heavy volume call center is preferred.Must be at least 21 years of age.
Certificates, Licenses, Registrations: Ability to acquire and maintain a valid Illinois PERC, including state accredited training requirements.
Language Skills: Must have the ability to read, write, speak, and understand English. Bi-lingual considered a plus.
Computer Skills: Proficiency with Microsoft Office software (Word, Access, Excel, PowerPoint).
Other Qualifications: Ability to pass pre-employment drug screen and criminal background check. Must maintain a working telephone number though which we can contact you.
Physical Demands: The physical demands are based on the contract and must be met by an employee to successfully perform the essential functions of this job.
