Job Function:
This secretarial position is responsible for assisting with the work of the Department of Nursing, under funding from the American Rescue Plan Act (ARPA). The Department of Nursing is an associate degree program that is accredited by the Accreditation Commission for Education in Nursing (ACEN).
The individual in this position is highly active with students. In this capacity, this individual works to assess, refer as needed, solve, and otherwise provide effective customer service. There will be a multitude of on demand questions regarding, but not limited to, student concerns, quality points, admissions information, registration, student-initiated withdrawal, appointments to meet with faculty or Department Chairperson.
This position provides support to all department faculty and staff members as requested and performs a variety of office management duties.
Typical Work Activities:
- Prepares correspondence, memoranda, reports, minutes and other materials related to the department of nursing and management of grants
- Orders supplies and materials
- Prepares, checks, and processes requisitions
- Participates in college wide events and activities
- Compiles data for inclusion in departmental and grant related reports
- Maintains and establishes confidential files and general office files
- Operates standard office equipment
- Proofreads prepared materials for sense, and consistency as well as spelling, grammar and punctuation
- Processes student course registrations, placement level and prerequisite overrides and documentation
- Provides office, telephone and email coverage
- Utilizes the college computer system to input/monitor/retrieve student records and course information as needed
- Refers inquiries to faculty and staff members or other departments as appropriate
- Transmits administrative directives and policies throughout the department
- Assist in preparation and monitoring of grant budget
- Assists in collecting data and information needed for the grant
- Supports all department faculty and staff as requested
- Other duties as assigned

Requirements:
Required Qualifications:
- Must currently hold the title of Secretary II and be reachable on the Monroe County Civil Service eligibility list titled Secretary IIOR meet the minimum qualifications for provisional* appointment;
- Graduation from high school or possession of an equivalency diploma, plus EITHER: (A) Three (3) years paid full time or its part time equivalent office secretarial experience; OR, (B) Graduation with a diploma or certificate from a school of business or business institute with a major in Secretarial Science, Word Processing, or a related area, plus two (2) years of experience as defined in (A) above; OR, (C) Graduation from a regionally accredited or New York State registered college or university with an Associate's degree in Secretarial Science or related area plus one (1) year of experience as defined in (A) above; OR, (D) Graduation from a school of business or business institute with an Associate's degree in Secretarial Science, plus one (1) year of experience as defined in (A) above; OR, (E) Any equivalent combination of education and experience as defined by the limits of (A), (B), (C) and (D) above.
- Must be a Monroe County resident.
Preferred Qualifications:
- Bilingual and able to read, write, and speak Spanish, or other languages, proficiently

Job Type: Full - Time
Hours: Monday - Friday, 8:45am to 4:45pm
Salary: $37,604.44 (eligible for increment at six months of service and a 2.75% increase effective 9/1/23)
*The term provisional means that you will be required to take the next Civil Service examination for this title, and place among the top three (3) candidates on the examination list in order to be eligible for permanent appointment.
