POSITION DESCRIPTION: Under direct supervision of the assigned management personnel, the purpose of this position is to provide routine administrative support involving secretarial duties in the assigned functional area, promoting efficient and organized operation of office activities. Employeesinthisclassification perform both routine and non-routine administrative support duties as dictated by the nature of the work area. Position may be assigned to a large department and perform a broad array of generalized administrative support functions, or the assignment may be to a specialized office wherein incumbents receive initial instruction in specific office operations.
SPECIFIC DUTIES AND RESPONSIBILITIES ESSENTIAL JOB FUNCTIONS: The list of essential functions, as outlined herein, is intended to be representative of the tasks performed within this classification. - Generates correspondence, memos, agendas, reports, forms, manuals and other relevant materials appropriate to assigned department.
- Provides administrative assistance to other clerical and secretarial personnel, as needed.
- Maintains and verifies accuracy of various departmental reports and databases; files various documents and records as instructed by departmental guidelines; retrieves files on request.
- Establishes, collects, organizes and maintains data pertaining to assigned clerical tasks and composes departmental reports as requested.
- Files correspondence, reports, records and materials according to appropriate departmental guidelines.
- Receives telephone inquiries and complaints, ascertaining the nature of the call; screens and directs to the appropriate department; greets and directs visitors, as and when appropriate.
- Prepares and mails acknowledgements or letters in response to routine inquiries in accordance with departmental policies and procedures.
- Assists with the resolution of minor routine administrative and operational problems.
- May type labels, envelopes, and/or routine forms; may open, sort, date, stamp and distribute incoming/outgoing mail; may sort documents and stuff envelopes for mass mailings, as directed.
- May schedule and coordinate agendas, meetings, conferences and appointments.
- Communicates with other departments and public agencies for the dissemination of information.
- Performs related duties, as assigned.
SKILLS AND REQUIREMENTS:
- High school diploma or GED, supplemented by one (1) to two (2) years of related work experience; or an equivalent combination of education, training, and experience. Must have a valid, current driver’s license.
- Demonstrated ability to perform general administrative support functions.
- Knowledge and proficiency in the use of computers, Microsoft Office features, and other basic software.
- Excellent typing skills and ability to produce professional documents and correspondence.
- Ability to communicate effectively, both orally and in writing.
- Ability to establish and maintain effective working relationships with City and State officials, private sector executives and business representatives, and the general public.
- Excellent work history and attendance record.
