The Office of the Registrar, an administrative service center for the University of Denver community, takes an active role in assisting students and faculty with registration and advising by providing the tools needed to review academic progress, create class schedules, and successfully register for classes. Specialized services include, but are not limited to, registering for classes, prompt transcript distribution, degree evaluation and certification, enrollment and degree verification, classroom scheduling, and withdrawal processing. We provide pertinent information regarding academic policy, federal regulations, and procedures as related to the procurement, maintenance, and release of educational records of our current and former students.
Position Summary
The Scheduling & Catalog Coordinator maintains the University schedule of classes and catalog of courses in the Banner Student Information System. This position works directly with academic units in an editorial capacity to ensure stylistic consistency in course description data. Establishes benchmark dates relating to course scheduling and planning. Works directly and independently with coordinators of academic units in the development and modification of course and section scheduling resources and accommodations. This position manages the utilization and allocation of institutional classrooms for the Office of the Registrar, on behalf of the Office of the Provost; coordinates usage of divisionally-controlled classrooms; makes classroom assignments for the majority of classes each term; recommends classroom administration policies; and performs complex analysis and reporting functions. It also assists with functional administration of CourseLeaf products, including the online course proposal/change form, and ensures the integrity of data between CourseLeaf and Banner. This position provides training to University employees who use Series 25 products, CourseLeaf products, and Banner schedule. Position administers a quarter million dollar budget for maintenance and improvement of University's classroom inventory and acts as liaison between Office of the Registrar and other offices on campus, including Conference and Event Services, Classroom Support, the Architects Office, and Facilities Management on capital projects in learning spaces. Position administers classroom scheduling software (Series 25) for University including user security, event management, web-publishing functions, in addition to software upgrades and version changes. Reports to Associate Registrar (486).
Essential Functions
  • Maintains University schedule of classes in Banner system (50% of time)
    • Enters schedule information as required; assists academic departments with delegated schedule authority; trains users; communicates procedures.
    • Audits divisional schedules for anomalies and ensures University academic policies are followed.
    • Establishes benchmark dates relating to course scheduling and planning.
    • Creates the final exam schedule for classes on the quarter system.
    • Works with Catalog Coordinator and other members of the Registrars Office staff to ensure changes in curriculum and catalog are properly implemented within the schedule of classes.
  • Maintains University catalog of courses in the Banner Student Information System (15% of time)
    • Reviews and modifies course proposals for adherence to University policies.
    • Works directly with academic units in an editorial capacity to ensure stylistic consistency in course description data.
    • Assists with the functional administration of CourseLeaf products, including the online course proposal/change form and ensures the integrity of data between CourseLeaf and Banner.
  • Acts as functional administrator for Series 25 software system (10% of time)
    • Serves as the expert resource and system administrator for the software program, administers software upgrades and version changes.
    • Series 25 functions include, but are not limited to, user security, web-publishing, form updates, and code management. Administers use of Banner scheduling software.
    • Trains divisional users.
  • Assigns classroom space for classes (10% of time)
    • Prepares scheduling software to make classroom assignments for the majority of classes each quarter
    • Optimizes classroom utilization
    • Reviews classroom assignments and makes necessary changes based on scheduling policies, class size, department, location and instructor preference
    • Assists departmental assistants and faculty with classroom assignments and changes.
  • Maintains inventory of instructional facilities (5% of time)
    • Maintains accurate information on classroom utilization using scheduling software
    • Tracks institutional room inventory and space categorization.
    • Works with Registrar in preparing classroom utilization reports.
    • Develops other ad hoc utilization reports.
    • Acts as liaison between Office of the Registrar and other key offices on campus with regard to classroom inventory and enhancement activities.
  • Administers a quarter million-dollar budget for maintenance and improvement of University's classroom inventory of approximately 125 centrally-scheduled spaces (5% of time)
  • General administrative assignments (5% of time)
    • Assists with other assignments and projects in the Office of the Registrar as required.
    • Schedules meetings and facilities.
    • Assists with student registration during peak periods.
    • Compiles information and statistical data, prepares reports, composes correspondence.
    • Creates and maintains documentation of procedures within the Registrars Office wiki.
Knowledge, Skills, and Abilities
  • Ability to read, analyze, and interpret university publications, technical procedures, or policy manuals.
  • Ability to write complex reports and business correspondence as well as edit the work of others for style and clarity.
  • Ability to effectively present information and respond to questions from students, University colleagues and the general public. Ability to speak effectively before groups of students and other employees.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to make decisions according to rules, regulations and procedures.
  • Ability to make independent decisions in discretionary areas. Ability to extract pertinent information from catalog descriptions and similar documents.
  • Knowledge of overall campus layout (buildings, rooms, etc.) along with general academic scheduling policies is important.
  • Knowledge of such policies at the University of Denver will be very helpful. The position works extensively with faculty and staff, and to a lesser degree students and parents. Thus, strong interpersonal skills are required in terms of both clearly and concisely communicating complex information and listening effectively. Personal computer skills are essential. The position works regularly with computerized information systems.
Required Qualifications
  • Bachelor's Degree
  • 1 year of experience in Higher Education

  • 2 years of experience in Higher Education
Working Environment
  • Standard office environment.
  • Unexpected interruptions often occur, and stress level is moderate to high.
  • Noise level is moderate.
Physical Activities
  • Ability to sit in front of a computer for an extended period.
  • Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.
Work Schedule
Monday - Friday, 8:00 a.m. - 4:30 p.m.

Salary Grade Number
The salary grade for the position is 8.
Hourly Range
The hourly range for the position is $23.24-$29.13.

The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate's sex or any other protected status.
