Job description

Position Summary: The Sample Specialist is responsible for handling all customer sample requests, inventory of all samples, stock levels for all samples, documentation, shipping, and all communication related to samples. This includes all current and future John I. Haas product lines.

Primary Responsibilities: (Must consider: 1) knowledge required; 2) problem solving; and 3) accountability.


50%
1. Customer Service for Internal and External Customers

  • Receives and fulfills all sample request as they are received in the ERP system
  • Prepares all required shipping documentation – including any required customs paperwork
  • Pulls samples from inventory and packages for shipment per shipping specs
  • Sets pick-ups for sample shipments & communicates tracking information back to sample requestor (sales team) and customer
  • Works with Sales and Marketing on mass mailings for Haas Marketing

35% 2. Inventory Management of samples

  • Maintains a max/min inventory supply for all samples to prevent delays in shipping
  • Converts all full size products pulled for sampling into sample sizes
  • Will work with warehousing on setting up and maintaining locations in HAAS inventory system
  • Manage samples during hop selection (harvest)
  • Move inventory throughout warehouses using forklifts and other equipment

10% 3. Finance/billing

  • Works with finance on any billing or charge back samples
  • Will provide invoice detail to finance to ensure accurate invoicing for all samples

5% Other duties as assigned.

Conditions of Employment:

1. Must comply with all John I. Haas, Inc. policies and procedures, including successful passing of pre-employment background check and drug test.

2. Must comply with our Integrated Management System (IMS) and be trained on procedures applicable to the requirements of the position, including managing significant quality, environmental, and food safety aspects.

3. Working hours are from 8:00 a.m. to 5:00 p.m. Monday through Friday. Hours worked over 40 per week will be paid as overtime and must be pre-approved. Must be flexible and able to work additional time and weekends as business may require.

4. Must be able to lift, push, or pull 40lbs.

Qualifications: (Education/Experience/Skills required of the Position)

Required (must have in order to be successful in role; without the qualification, applicant wouldn’t receive a phone interview during recruitment.):

  • Excellent interpersonal and communication (written and verbal) skills.
  • Excellent computer skills; must be proficient in MS Office.
  • Ability to obtain forklift certification within 60 days of hire

Preferred (the “nice to haves”; without it, won’t prevent from being successful and/or can train person to learn “it”):

  • Experience working with hops.
  • Shipping experience including international.
  • Experience with inventory management.
  • Experience using CRM or ERP software/programs

Pay: $40,880 to $61,320 per year with a target starting salary of $40,880 to $51,100. Please keep in mind this range represents the range for all positions in the pay grade within which this position falls. The actual salary offer will take into account a wide range of factors, including experience and if applicable, location.
