Duties: The Sales/Reception Assistant is responsible for assisting the Executive Director in leasing apartments/residences, marketing the services and amenities offered by the community and assisting in the coordination of the move-in process. This position also provides a positive first impression and quality customer service to residents, family members, applicants, visitors, vendors, and team members upon entering the community.

Essential Functions

  • Manages a multi-line telephone system by answering calls in a timely manner, relaying messages accurately and in a courteous, customer friendly manner.
  • Provides a positive first impression of the community to all customers.
  • Distributes and sends mail and faxes.
  • Assists managers in special projects and mailings as requested.
  • Assists Executive Director as needed.
  • Maintains monthly census budget goals.
  • Provide relationship sales and customer service philosophy to prospective residents and family members, and referral sources to obtain census budget goals.
  • Provides individualized sales tours for all interested guests.
  • Makes out-bound sales inquiry and follow-up calls and enters, tracks, and maintains sales inquiries in CRM system as needed.
  • Communicates daily with the Community Leadership Team regarding the sales process.
  • Coordinates all move-ins with Community Leadership Team.
  • Facilitates completion of move-in paperwork and submits to the Community Leadership Team prior to move-in.
  • Communicates with residents, families, visitors, and employees in a positive manner following our Core Values & Mission.
  • Maintains supply of all marketing materials including brochures and move-in binders.
  • Provides support for all marketing events as needed.
  • Ensures adequate daily coverage for meal service by communicating with the Culinary Services Director and/or Host/Hostess, to include taking resident orders for meals, providing drink refills according to residents' / guests' requests, assists with the cleaning, resetting and preparation of the dining room in-between mealtimes.
  • Maintains confidentiality of residents' personal information in and out of the community and protects and supports residents' rights.
  • Maintains a professional appearance and demeanor that encourages a positive, nurturing environment for the residents, families, vendors, and guests.
  • Performs other duties as assigned.

Managerial Breadth/Scope of Job
There is no direct supervisory responsibility. However, the Sales Assistant must work closely with other department leaders to ensure an easy transition of all move-ins and tour schedules.
Qualifications
Knowledge/Skills/Abilities
  • Proven organizational skills and strategic planning.
  • Excellent oral communication and interpersonal skills for meeting with potential residents, family members, physicians, social workers, discharge planners, employees, and managers.
  • Knowledge and use of Excel Spreadsheets, Microsoft Word, and Power Point.
  • Excellent written communication skills used in providing brochures and letters to prospects, referral sources, and other opportunities that may arise.
  • Must maintain a current driver's license and comply with all requirements of our Auto Policy.
  • Demonstrates a SERVANT heart and attitude by following our Mission Statement.
Education/Experience
Education: High School graduate or equivalent. College degree preferred.
Experience: Experience in senior living a plus.
Working Environment/Physical Requirements
Position may require driving to outside referral sources' offices during all seasons of the year. Ability to lift 10-pounds frequently. Position requires sitting, walking, and standing for long periods of time based on the activity being performed.
