Sales Support Team Member
International Gourmet Foods, Inc. (IGF) services restaurants, gourmet markets, clubs, caterers, bakeries, country clubs, breweries, wineries, and hotels throughout the eastern United States. The Sales Support Team Member is responsible for providing the necessary assistance to the sales team to drive and achieve sales goals by assisting customers during the sales process. The primary responsibility of a Sales Support Team Member is to ensure overall customer satisfaction by providing administrative and operational support to the sales team.
The Sales Support Team Member is an essential component in facilitating sales processes and ensuring efficient customer service. Their contribution to the Sales Support Coordinator's responsibilities ensures a seamless sales journey for customers.
Duties and Responsibilities
1. Act as the primary point of contact for customers to:
a. Ensure customer inquiries and concerns are addressed promptly and effectively
b. Answer phone calls and respond to emails in a professional and courteous manner, providing clear guidance and solutions
c. Deliver accurate and up-to-date information about products or services to customers
d. Assist customers with order processing, product inquiries, pricing, and delivery status updates
e. Assist with customer expectations, requests, and timely follow-ups
2. Clearly and effectively communicate over the phone, via email, and text, prioritizing time-sensitive communication
3. Obtain a high level of IGF product knowledge and food service industry features
4. Stay updated on industry knowledge, sales techniques, and product developments through ongoing training and self-directed learning
5. Maintain accurate sales records and databases, updating customer information, sales orders, and relevant documentation
6. Assist in effective collaboration between the sales team and other departments to streamline timely delivery and smooth order fulfillment; communicate customer pick-ups to the warehouse operations and accounting teams
7. Monitor order fulfillment and proactively resolve any issues or delays
8. Support the sales team with accurate information
9. Perform other duties as assigned
Qualifications (Required)
  • Strong attention to detail and written, verbal, and interpersonal communication skills
  • Able to establish and maintain relationships with customers, stakeholders, vendors, and subject matter experts to ensure accurate and efficient output
  • Strong customer service orientation; ensuring prompt and professional responses to customer inquiries and requests
  • Excellent time management skills with the ability to prioritize tasks, meet deadlines, and handle multiple responsibilities simultaneously
  • Strong problem-solving skills and the ability to think critically to resolve issues or conflicts
  • Able to work independently or as part of a team, changing gears when required, whether multitasking or adapting working hours
  • Excellent analytical, communication, organization, and data-entry skills with keen focus on relationship building across branches, departments, teams, customers, vendors, and service providers
  • Build and maintain relationships with customers and vendors
  • Proactive, quick-thinking, problem-solving approach to work
  • Creative; open to new ideas and concepts
  • Able to thrive in a fast-paced and dynamic work environment, working collaboratively with cross-functional teams
  • Proficiency in M365, especially Dynamics, Excel, Forms, Outlook, Planner, SharePoint, Teams, and Word

Qualifications (Preferred)
  • Bachelor's degree in Business Administration, Marketing, or a related field
  • Experience in a Sales Support, customer service, or administrative role
  • Familiarity with CRM systems or sales databases
  • Familiarity with sales processes, techniques, and strategies.
  • Awareness of industry trends, market dynamics, and competitor activities
  • Experience in building and nurturing customer relationships to foster long-term loyalty and repeat business
  • Bilingual communication skills

Physical Requirements
  • Must be able to sit at a desk and work on a computer for prolonged periods of time.
  • Must be able to lift at least 20 pounds (lbs.)
  • Must be able to access and navigate every department within the organization.
  • Requires bending, sitting, standing, walking, use of hands, arms, legs, eyes, and voice.
