The opportunity

POSITION SUMMARY
The Sales Operations Coordinator is a liaison to Sales team ensuring all requests are handled efficiently and with importance. A detailed oriented individual who follows proper protocol and adheres to regulatory compliance and credit requirements to reduce risks to the customer and organization while onboarding new customer accounts and maintaining existing customer records.  The individual will collaborate cross-functionally to ensure data integrity, problem solve and for process improvement. The individual will also work on a variety of high-level projects. 

The hours for this position are M-F 9a-6p.

 

ESSENTIAL AREAS OF RESPONSIBILITIES    

•    Carry out responsibilities in accordance with the organization’s policies, procedures, and state, federal and local laws.
•    Interpret and closely follow instructions and procedures.
•    Handle the intake of new customer applications and communicate process requirements and status updates internally and externally, via written and oral communication methods.   
•    Responsible for storing, keeping track and routing customer applications to appropriate departments and team members, timely and accurately. 
•    Provide excellent customer service to internal and external partners and customers. 
•    Responsible for managing and analyzing departmental reports and audits. 
•    Work with Regulatory Compliance team to ensure all accounts are setup in accordance with regulatory requirements. 
•    Assist with detailed customer research in preparation of new customer onboarding.  
•    Assist with maintaining and updating customer account records including but not limited to, billing address, billing contact information, payment method, Saturday delivery, shipping routes and customer account status (reactivate, inactivate, deactivate).
•    Assist with working with Credit and A/R teams for appropriate handling of new and existing bill-to accounts. 
•    Assist with onboarding new customer accounts for Pharmacy, Andameds and Corporate divisions, including mass uploading records, as required.
•    Assist with maintaining and updating customer HIN information in the system and working closely with sales representatives to ensure customers are obtaining/updating HIN information with HIBCC as required.
•    Perform other duties as assigned. 

Your experience and qualifications

Education/Certification/Experience:

•    Highschool diploma or equivalent combination of experience, training and/or direct work-related experience.
•    Bachelor's degree preferred. 
•    Minimum 2+ years of account maintenance, data entry and analytical experience preferably in pharmaceutical industry.

•    Ability to handle multiple tasks simultaneously.

•    Ability to meet tight deadlines and remain calm and focused in high demanding situations.
•    Ability to manage a high volume of tasks effectively.

•    Business English proficiency (spelling, grammar, and punctuation).

•    Excellent organizational skills and attention to detail.
•    Excellent time management skills.
•    Proficiency in Microsoft Office Suite (Excel and Word).
•    Problem-solving attitude.
