Essential Functions of the Job:
- Be a resource to the Sales Team by: creating and maintaining sales documents, producing and updating quotes, entering customer orders, coordinating with dealers and customers on bid documentation.
- Update the Company’s EBS (Electronic Build Sheets).
- Participate in weekly department meetings and taking the minutes,
- Produce reports as requested, including but not limited to forecasting, sales bookings reports, etc.
- Comfortable in contacting customers and dealers, and handling inquiries from customers/dealer/sales on production status and help resolve issues when they arise.
- Send communications such as email blasts to sales representatives and dealers.
- Maintain updated data on sales force and dealer network.
- Work with vendors in selecting promotional items for resale and manage the Company’s promotional giveaways and marketing supplies. Manage the Company’s inventory of sales, marketing & show materials.
- Manage and support dealer sales, marketing, and Co-Op requests.
- Register and coordinate all shows the Company will participate in, including getting materials and equipment delivered to and picked up from each show.
- Planning & coordination of Company events/luncheons, on and off site.
- Make travel arrangements and reservations upon request for team members and guests.
- Support development of Company collateral materials, including but not limited to literature, ads, flyers, newsletters, postcards, direct mail, email blasts, brochures, signage, forms, banners, website pages and other related Company publications and/or marketing material.
- Develop communication tools including presentations, newsletters, and email/social media campaigns, under the direction of the Company managers.
- Manage and help update the graphic and design requirements of the Company, interpreting and applying brand standards consistently to all materials produced.
- Update the Company’s websites and social media avenues, using each as appropriate to convey relevant information to the public in a timely, professional, and ethical manner.
- Manage and maintain graphic files, including but not limited to Company logos, photos, videos, and art.
- Take photos and videos of ODB products and Company events.
- Perform various support duties including writing copy, emails/letters, proofreading, mailing documents, scheduling appointments, organizing files, and copying.
- Stay within budget for all projects.
- Able to travel 3-4 times per year.
- Handle expense reports.
- Manage the appearance of the Company’s lobby.
- Other duties as assigned to include assisting the President and assisting with HR filing, job posting, social media recruitment, onboarding of temporaries and new hires, record retention, and training initiatives.
Knowledge, Skills and Abilities (KSA’s):
- Excellent critical-thinking and problem-solving skills.
- Conscientious and desire & ability to take ownership of projects and responsibilities.
- Detail-oriented to ensure accurate procedural follow-through, especially related to ensuring procurement contract compliance.
- Advanced skills in Excel. Comfortable with Outlook, Word, PowerPoint, and Publisher.
- Experience quoting and managing print jobs.
- Experience in coordinating and organizing various functions.
- Must have excellent organizational and prioritization skills and the ability to handle multiple tasks and quick deadlines.
- Demonstrate exceptional interpersonal teamwork skills.
- Excellent communication (both verbal and written), grammar and proofing skills.
- Web design, web updates and graphic design experience or courses.
- Direct experience with Adobe Suites (PhotoShop, InDesign, Illustrator), PageMaker, Print Shop Graphics, Video making software.
- Ability to maintain integrity of confidential information.
Education and Experience:
- High school diploma or GED certificate required. Marketing degree preferred.
- Minimum of 1-year experience in supporting outside and inside sales teams required.
- Minimum of 1-year managing a literature process from creation (graphic designs, photo and video editing), to printing to distribution.
- Experience in supporting a dealer network, a plus.
- Experience with JD Edwards ERP, a plus.
Working Conditions:
The position requires the Assistant to conduct some duties outdoors, sometimes in inclimate weather. The Assistant will also be conducting some work inside the plant or other locations the Company is working in. Must be able to wear personal protective equipment while performing work in production areas. A good portion of the work is conducted at the workstation in an office environment indoors: frequent sitting for extended period and use of standard office equipment. On occasion, will need to lift a maximum of 20 lbs. Must be able to work overtime, weekends and/or holidays as required to complete job assignments.
