Primary Function:
Under the direction and control of the Sales Manager, with supervision and oversight from the Sales Consultant(s), this position is responsible for handling the day-to-day administrative service functions relating to the assigned Sales Consultants' customers/guests. This position performs all duties within the objectives, standards, and policies of Willis Automotive.
Duties and Responsibilities:
- Prepare documents for deal jacket and ensures all documents required to close a deal are in place
- Coordinate with sales managers, finance, & back of house to ensure deliveries are as smooth as possible
- Schedules appointments for customers including date and delivery times for new vehicles, service, appraisals & visiting Sales Consultant(s); ensures that all vehicle keys and paperwork are ready/available for Sales Consultant and customer at time of delivery to including purchase documents, warranty paperwork, & vehicle manuals
- Retrieves reports and information from the CRM as requested
- Provides high level of customer service anticipating guests’ needs
- Must be willing to work a flexible schedule including evenings and Saturday's; early morning hours for moving vehicles during inclement weather.
- Follow-up on all parts/accessories orders that were not available for customer at time of sale
- Prepares the Retail Dealer Report (RDR) information and reports sales information to the respective franchise line representative
- Locates & retrieves vehicles both on and off the premises
- All other duties as assigned by Sales Manager

- Excellent customer service skills
- Excellent verbal and written communication skills
- Advanced organizational skills
- Working knowledge of Microsoft Office Word, Excel and Outlook required
- Strong attention to detail and ability to multi-task
- Valid driver’s license and ability to maintain insurability required
- Must be willing to work a flexible schedule to accommodate the needs of the Company, sales consultant(s) and customer
Physical Requirements and Work Environment:
Will stand and move throughout dealership facility (lot, showroom, service department, offices) for most of shift time. This position will spend time outdoors showing vehicles to customers and will drive vehicles in traffic during test drives and/or deliveries. Position may be exposed to noise, vibration, dust, paint, exhaust fumes, and other hazardous and non-hazardous materials.
