Job Description
Working closely with our VP on a daily basis, you will coordinate and co-manage most of her meetings, communications, and tasks, and be at the ready to assist in all matters that require her attention. Excellent verbal, written and organizational skills are a must. The ideal candidate must have a proven track record of success in supporting a VP-level executive in a fast-paced, dynamic work environment. You are high energy with a fun-loving, positive attitude, yet you are a mature professional gifted with the ability to handle challenging situations with grace and tact.
Responsibilities:
Maintain the VP’s calendar and daily schedule
Arrange and book all travel for the VP of Sales
Submit expense reports on behalf of the VP or Sales
Field phone calls and emails for the VP of Sales, and thus, communicating with both internal and external parties with a high level of professionalism and diplomacy
Coordinate and host group meetings and meals, such as those for the Board of Directors, investors, and management team
Maintain a positive and effective working relationship with all members of the Zendesk team
Assist in coordination for various sales events
Organize and update the VP’s files (hard-copy and electronic) as needed
Prepare slide decks for meetings as needed
Manage VP’s ad-hoc projects
Attend meetings and document discussions, as necessary
Ensure and maintain confidentiality of all appropriate communications and documents
- Filing experience highly desired- Adeptness in email
- Solid understanding of Microsoft Word
- Microsoft Excel experience
- Foundational knowledge in customer service
- Deep understanding of MS Outlook
- Ability to handle multiple tasks to prioritize needs and expedite tasks upon request
- Recommended experience includes 2+ years of Sales Assistance
- Prior experience coordinating projects, utilizing strong social skills, and working well with all levels of personnel and outside clients and vendors
- Employer prefers a BA/BS degree in business, communications, or a related field for this position
- Proficiency with Microsoft Office Suite - PowerPoint
- Be able to adapt and thrive in constantly changing environments
