Job Purpose
Responsible for providing administrative and compliance support to the Safety & Training Department. Prepare and maintain data and documentation for Safety & Training Programs, Workers’ Compensation Claims, and Incident Reports. Provide support with training needs evaluations and collaborate with the Safety & Training Department and other subject matter experts to assist in the enhancement of training programs, scheduling and tracking training, and optimizing training resources to meet organizational goals.
Primary Duties
- Serve as primary point of contact for administrative functions, employee and customer questions and activity coordination for the Safety & Training Department.
- Answer phones, screening and routing as needed. Take messages or assist callers as appropriate.
- Manage calendars and set meetings as directed by manager and other staff.
- Create and send out correspondence for department, maintaining correspondence files as needed.
- Coordinate and schedule catering, and meeting set-up as requeste
- Prepare and submit annual Safety purchase orders.
- Handle routine questions or requests for employee assistance.
- Support the Manager, Safety & Training with data requests, audits, and other compliance activities as needed.
- Maintain documentation and records for various Safety & Training programs, including Safety & Training course attendance and exams, OSHA 300 logs, Joint Labor Management meeting attendance and minutes.
- Process and monitor the status of Incident Reports and Worker’s Compensation Claims.
- Responsible for keeping accurate meeting minutes from Joint Labor Management, Safety Committee, departmental, and other meetings.
- Process new Safety Data Sheets and maintain Safety Data Sheet Database.
- Schedule annual make-up respiratory physicals and audiometric testing.
- Coordinate, schedule, and track employee CPR/AED/First Aid training.
- Serve as the SME and create, administer, update, track training and certifications within the HSI Platform.
- Assist departments in the development of training and curriculums in HSI for Utility wide use.
- Schedule, track, and record utility training and employee certifications within HSI.
- Assist with the organization and sourcing of training programs to meet specific training needs.
- Leverage HSI as the primary hub for employee learning and development resources.
- Support the MPW Contractor Badging process for the A/O, verifying contractors’ information and Safety Training are current in the Gatefeed system and issue badges to contractors at the A/O facility.
- Prepare and deliver new hire onboarding training.
- Authorize and process safety shoes, safety prescription glasses and custom hearing protection for MPW Employees.
- Other duties as assigned.
